InDesign does not have a single document-wide CMYK mode switch like Photoshop. To see whether your file will produce only four-color process plates, open Window > Output > Separations Preview and set View to Separations. The ink list should contain only Cyan, Magenta, Yellow, and Black. Any additional named ink is a spot-color separation.
The fastest way to check CMYK output
- Open the InDesign document.
- Choose Window > Output > Separations Preview.
- In the panel’s View menu, select Separations.
- Review the ink list.
The panel displays the process plates—Cyan, Magenta, Yellow, and Black—as well as any spot-color plates used by the document. If only C, M, Y, and K appear, the visible document content is set up for four-color process output. If you see an ink such as PANTONE, Varnish, Metallic, or Die, the file includes an additional spot separation.
Use the eye icons to hide individual plates. Selecting a separation helps reveal which objects contribute ink to it. Adobe’s documentation covers this workflow in Separations Preview.

This is the best quick check, but it is not a complete audit of every imported file or of the final PDF.
What “CMYK” can mean in InDesign
InDesign is different from Photoshop: there is no Image > Mode > CMYK Color command that changes the entire document. An InDesign file can contain process colors, spot colors, RGB or CMYK images, placed PDFs, transparency effects, profiles, and output settings that affect the result.
When someone says “the document is CMYK,” they may mean one of several things:

- InDesign process colors are intended for CMYK printing.
- No unwanted RGB graphics remain.
- No unintended spot-color plates remain.
- The exported PDF is converted to the printer’s required CMYK profile.
- The job will produce only four plates.
These checks overlap, but they are not interchangeable. InDesign can define process colors using RGB, HSB, Lab, or CMYK controls; for print separations, process colors are ultimately converted according to color-management settings and the document profile. Check Process and Spot swatches
Choose Window > Color > Swatches. Inspect the icons beside each swatch and look for colors marked as Spot rather than Process. A spot swatch creates its own plate instead of being built from Cyan, Magenta, Yellow, and Black. Adobe explains how to identify and use spot colors.
To convert an accidental spot swatch:
- Open the Swatches panel.
- Double-click the swatch or open Swatch Options.
- Change Color Type from Spot to Process.
- Confirm the CMYK values and select OK.
Do not do this automatically when the spot ink is intentional. Brand colors, metallic inks, varnish, white ink, and die lines may require separate plates. Converting them to process can change the appearance or remove an important production instruction. Follow the printer’s specifications; Adobe also discusses this decision in its guide to preparing color separations.

Inspect extra inks with Ink Manager
From the Separations Preview panel menu, choose Ink Manager. This shows the inks used by the document and can let you convert a spot ink to process or create aliases for duplicate spot-color names.
Changing a swatch in the Swatches panel changes the document’s color definition. An Ink Manager change can instead affect the current print or export output without permanently changing the source swatch. Ink Manager is therefore an ink-output control—not a universal “convert everything to CMYK” button. See Adobe’s Ink Manager guidance.

A file can use only CMYK plates and still contain too much combined ink. Open Window > Output > Separations Preview, set View to Ink Limit, and enter the maximum total area coverage (TAC) supplied by your printer.

Adobe gives approximate examples ranging from about 240% to 320%, depending on the press and stock. There is no universal correct number: use the printer’s specified limit. Areas above the entered value are highlighted for correction. Read Adobe’s documentation on ink limits and separations.
Check placed images, Illustrator files, and PDFs
InDesign’s swatches do not reveal the native color space of every imported graphic. A document may contain a CMYK TIFF, RGB JPEG, grayscale image, Illustrator artwork with RGB objects, or a PDF containing RGB, CMYK, Lab, transparency, or spot content.
Open Window > Links to identify placed files and their source applications. Inspect the originals in Photoshop, Illustrator, Acrobat, or another suitable tool. Placed PDFs deserve particular attention because they can carry unexpected spot plates such as varnish or a die line.

RGB is not automatically wrong for print. Many professional workflows accept RGB images and convert them during PDF export or in the printer’s RIP. The correct destination profile and conversion policy matter more than an absolute “RGB is forbidden” rule. Ask your printer whether RGB content is accepted and where conversion should occur.

Choose Window > Output > Preflight. Review errors and warnings, expand the Color category when available, and select an issue to locate the affected object or page.
Preflight checks only the conditions enabled by its profile. The Basic profile may not cover every requirement of a commercial press. If your printer supplies an .idpp profile, load and use it. A green Preflight status is useful, but it does not prove that every linked graphic is suitable for every press. Adobe describes the panel and profiles in its Preflight documentation.
Confirm the exported PDF
If the printer receives a PDF, inspect that PDF—not only the InDesign source.
- Choose File > Export.
- Select Adobe PDF (Print).
- Open the PDF export dialog’s Output section.
- Review Color Conversion, Destination, and Profile Inclusion Policy.
- Review spot-color handling through Ink Manager when necessary.
The principal choices are:
- No Color Conversion: preserves the existing color data, which may include RGB.
- Convert to Destination: converts colors to the selected destination profile.
- Convert to Destination (Preserve Numbers): converts when profiles differ while preserving certain native or untagged values.
Use the printer’s supplied PDF preset and profile whenever possible. If the printer specifically wants RGB converted to a particular CMYK condition, use Convert to Destination with that exact destination. Preserve existing CMYK numbers only when the printer or color-management workflow calls for it. Preserve intentional spot colors unless the printer instructs you to convert them.
For final verification, inspect the exported PDF with Acrobat Pro’s Output Preview or the printer’s PDF preflight system where available. Check object color spaces, output intent, spot inks, overprinting, and TAC. Exact controls vary by Acrobat edition and interface. Adobe’s references for PDF export color options and print-ready PDFs provide the relevant settings.

Important edge cases
- Registration: The Registration swatch prints on every plate. It is not ordinary black.
- Rich black: A black made from multiple inks may be correct for large areas, but the build is printer-dependent. Small text is often set to 100% K, but follow the printer’s rules.
- Hidden layers and nonprinting objects: Their inclusion depends on layer and output settings. Check the actual export and Preflight configuration.
- Overprinting and transparency: These can change how artwork appears and separates. Use Overprint Preview and inspect the PDF when the job is critical.
- Profiles: “CMYK” alone is incomplete. A press, paper, and region-specific CMYK profile can produce different results.
- Digital, large-format, and specialty printing: Some workflows accept RGB or use additional inks. The printer’s requirements control.
- Screen-only PDFs: If the file is for the web or digital viewing, CMYK may be undesirable; choose the color space for the actual destination.
Preflight checklist before sending to print
- Separations Preview shows the expected plates.
- No unintended spot colors or specialty inks remain.
- Total ink coverage is within the printer’s limit.
- Links are current and placed graphics have been reviewed.
- Preflight has no relevant errors.
- The PDF uses the printer’s supplied preset and output profile.
- The final PDF has been inspected when the printer requires PDF-level verification.
