For professional print and digital layouts, compare InDesign with the current free Affinity layout offer; Scribus is a free cross-platform option, while Publisher users should prioritize converting and preserving files before retirement in October 2026.

These are not interchangeable tools. A long book or complex print job calls for different layout controls and handoff planning than a simple brochure made from a template. Compare the application against your actual workflow rather than treating a single ranking as universal.
How to choose desktop publishing software
Desktop publishing (DTP) software arranges text, images, and other page elements for print or digital publication. Before choosing, work through these questions:
- What are you publishing? Consider document length, layout complexity, and whether the output is for print, digital reading, or both.
- What does production require? Check for the typography, page structure, color handling, and export controls your printer or publisher specifies.
- What computer will run it? Compare the vendor’s current OS and hardware requirements with your machine.
- Who must edit the files? Confirm the required source format and whether collaborators can work with it. A PDF may be viewable without being conveniently editable.
- What does the license cost over time? Compare subscription or purchase terms, support, and the effort of moving files later.
- Are you using Publisher now? Treat conversion and preservation as an urgent, separate task because Microsoft’s retirement timeline is in October 2026.
Adobe InDesign: for professional page layout
Consider InDesign if: you produce professional print or digital publications and need its page-layout and publishing features for work such as brochures, digital magazines, eBooks, posters, and presentations.
Adobe describes InDesign as software for print and digital publishing. Its tools and production environment may suit a complex publication, but assess the exact features your workflow requires and make sure collaborators can accept the files. Avoid assuming that a particular application is mandatory for every professional project.
Adobe’s US product page listed a price of US$22.99 per month for an annual plan billed monthly when checked October 7, 2026. This is a US advertised price, not a universal rate; plans and prices can vary by region and change. Review Adobe’s InDesign plans page before buying. Adobe also publishes current technical requirements; check the requirements for the version you plan to use against your operating system and hardware.

Affinity: current layout offer and IDML migration
Consider Affinity if: you want layout, vector, and pixel tools and need a free alternative for core layout work.
The current Affinity page describes a free layout studio available with a free Canva account. Core layout does not require Canva Premium; optional Canva AI features do. Affinity says it can import IDML exported from InDesign and export formats including PDF, SVG, JPEG, PNG, TIFF, and EPUB. Its print PDF export supports bleed and crop marks.

Import is not the same as a flawless conversion. Affinity notes that some advanced formatting—such as GREP styles, anchored objects, and tables—may need manual adjustment. It does not export INDD or IDML, so confirm that collaborators will accept the resulting source files before migrating a project.
The older “Affinity Publisher 2” product and its licensing context should not be mistaken for the current offer. Review the current Affinity page for product details and supported formats.

Consider Scribus if: you need a free, cross-platform publishing application and can allow time to learn its workflow.
A reviewed comparison describes Scribus as free and cross-platform, with print-oriented features including CMYK and spot color, ICC color management, vector editing, and PDF support. These are review observations, not a guarantee that every project or printer requirement is covered.

Consider QuarkXPress if: you are evaluating professional page-layout software and can verify that its current features and file handling fit your team.

Treat these as starting points rather than definitive current specifications: confirm licensing, supported versions, and compatibility with Quark before purchasing or converting files.

In particular, do not assume that “InDesign-file support” guarantees complete conversion fidelity. Test a representative document and review the result before moving important work.
Canva: template-led collaborative design
Consider Canva if: you value templates and collaboration for simpler design work and have confirmed that its output meets the needs of your publication.
Canva can be a practical choice for template-led collateral, but do not assume it offers the same controls as a dedicated DTP application for complex page composition or print production. Check current plans and test the export with the intended printer or publisher. See Canva’s plans page.

If you use Publisher, prioritize migration and file preservation rather than starting a new long-term workflow in it. Microsoft says Publisher reaches end of life in October 2026. Microsoft 365 subscribers will lose the ability to open or edit Publisher files in Publisher after October 1 as removal rolls out, and support for perpetual Publisher ends October 13.
Microsoft recommends converting files before October 1, 2026. PDF export can preserve a publication’s appearance, but a PDF is not necessarily an editable replacement. Microsoft notes that converting a PDF to Word optimizes it for text editing and may change the layout, especially in documents with many graphics.

- Export PDFs to preserve the appearance of important publications.
- Test conversion of documents that need future editing; review layout, graphics, and text flow.
- Choose a replacement application and rebuild the important templates or publications that require editable source files.
- Keep the original files, exported PDFs, converted files, and related assets in an organized archive.
- If bulk export is needed, review Microsoft’s guidance and adapt and test its sample PowerShell script for your environment.

Print and file handoff checks
Before producing a print publication, ask the printer for its specifications. Verify the exported file against those requirements rather than assuming a particular application will make any PDF print-ready.
- Confirm finished page size, orientation, bleed, and safe margins.
- Ask how the printer wants color handled, including RGB, CMYK, spot colors, and any required ICC profile.
- Check image resolution at the intended output size.
- Confirm font handling and any requirements for embedded or supplied fonts.
- Use the PDF settings or standard requested by the printer.
- Inspect the exported PDF and obtain a proof before a full print run.
For editable handoff, agree on the source format before work begins. A PDF can preserve appearance for review or printing without preserving the convenience or fidelity of the original editable layout.
