There is no single best font for every Word document. For a current Office-default choice, use Aptos. For familiar sans-serif text that Microsoft specifically suggests when reducing reading load, choose Arial or Calibri. The right decision depends on your audience, purpose, accessibility needs, and whether recipients have the same fonts installed.

The title says “for 2024,” but the product details below were checked against Microsoft documentation current on September 28, 2026. Aptos and font-picker availability can change, so treat those details as current guidance rather than evidence of what Word displayed in every 2024 edition.

Why “best” depends on the document

Typeface quality is contextual. A short internal memo, a long report, a résumé, a school handout, and a branded brochure have different constraints. Consider four questions before selecting a font:

  • Who will read it? Familiar letterforms generally reduce the effort required to decode text, particularly for readers using assistive technology or viewing a document quickly.
  • What is the job of the document? Body copy needs sustained readability; a title or poster can tolerate more personality.
  • Where will it be opened? A font that exists on your computer may be substituted on another computer, changing line breaks and page count.
  • How much control do you need? A standard Office font is easier to exchange. A custom face offers stronger branding but requires a sharing plan.

Aptos: the practical default

Microsoft’s New Office theme guidance states, “Aptos is the default font across all of Office.” That makes Aptos a sensible first choice when you want a document that follows the current Office look without changing theme settings.

Do not read the default designation as a readability ranking. The statement describes Microsoft’s product theme, not a comparative test showing Aptos is superior to Arial, Calibri, or every other typeface. If your organization already uses an approved template, keep its specified font unless there is a clear accessibility or compatibility reason to change it.

Arial and Calibri for familiar sans-serif readability

Microsoft Support’s accessibility guidance says: “To reduce the reading load, select familiar sans serif fonts such as Arial or Calibri.” These are practical choices for reports, instructions, forms, and other documents where readers should focus on the content rather than the typography.

Arial

Choose Arial when broad familiarity and straightforward exchange matter more than matching the newest Office theme. It is a conservative option for documents that may circulate outside your organization.

Calibri

Choose Calibri when an existing template, team standard, or older Office workflow already uses it. It remains a familiar sans-serif choice even though Aptos is the current Office default described by Microsoft.

Formatting matters as much as the face

Microsoft’s accessibility guidance also cautions against all-capital passages and excessive italics or underlining. Use meaningful headings, adequate size and spacing, and strong contrast; changing the font alone cannot compensate for poor structure.

Font choices by common Word task

Reports and long documents

Start with Aptos, Arial, or Calibri in a comfortable size, then inspect several pages at normal viewing scale. Consistent heading styles and line spacing usually improve usability more than switching among similar sans-serif faces.

Résumés and cover letters

Use a familiar font that keeps dates, headings, and bullet alignment stable when exported or opened elsewhere. Arial, Calibri, or Aptos are safer than an unusual display face unless the employer supplied a template.

Accessible instructions and forms

Favor familiar sans-serif text, avoid all caps for whole sentences, and test the document with the intended reading workflow. Keep labels, headings, and form instructions visually consistent.

Branded or highly designed documents

A custom font can be appropriate when brand identity is central. Confirm its license, provide a fallback, and verify the final PDF or print output rather than assuming every recipient can render the original Word file.

Will the font look the same on another computer?

Not necessarily. If a recipient’s system lacks your chosen font, Office can substitute another font; Microsoft warns that missing fonts may appear as Times New Roman or the default font. Substitution can alter wrapping, page breaks, tables, and the overall design.

Use Office cloud fonts when supported

Microsoft says Office cloud fonts are available across supported Office devices and platforms. Availability still depends on the platform, app, account, and subscription. Microsoft’s current modern-font-picker documentation reports 900 fonts across 260 font families for Microsoft 365 subscribers and 82 fonts for free users; these are changing access counts, not readability measurements. The modern picker is currently documented for Word and PowerPoint for the web, so do not assume the same catalog or controls in every desktop app.

Embed fonts when the design must travel

For a Word file that must preserve a custom design, consider enabling font embedding in Word’s save options when the font license and the target app support it. Embedding can increase file size, and Microsoft notes that support differs by application. Always reopen the saved file on a separate device before distribution.

Installing a custom font for Word

Only install fonts from a source you trust and whose license permits your use.

  1. Download the font files, commonly in TrueType (.ttf) or OpenType (.otf) format.
  2. On Windows, open the font file and select Install (or install it through Windows’ Fonts settings).
  3. Close and reopen Word so the newly installed font can appear in the font list.
  4. Apply the font to the document’s styles, then check wrapping, tables, headers, and page breaks.

Microsoft’s custom-font guidance explains that fonts installed through the operating system become available to Office. Installing a font on your computer does not install it for recipients.

A simple decision checklist

  • Choose Aptos when you want the current Office default with minimal setup.
  • Choose Arial or Calibri when familiar sans-serif text and reduced reading load are the priority.
  • Choose a custom font only when its design benefit justifies compatibility and licensing work.
  • Before sending the .docx, confirm the recipient has the font, use a supported cloud font, embed it when appropriate, or export a PDF when editing is not required.
  • Open the final file on another device or account and inspect layout before delivery.
