BIM Beyond 3D Models: How Shared Information Drives Building Projects

BIM is a shared information and collaboration process, not just a 3D model. Here is how object data, requirements, open standards and lifecycle handover fit together.

BIM is not simply 3D modelling. It is the shared digital representation, information-management method and collaboration process that lets teams make dependable decisions from early design through construction and operation. Geometry is one layer; the useful BIM deliverable also carries properties, relationships, requirements, responsibilities, issue records and handover information.

What BIM means beyond a digital building model

The standards-based definition is deliberately broader than a drawing or rendered model. BuildingSMART reproduces ISO 19650-1:2018 as: “Building information modelling – BIM : use of a shared digital representation of a built asset to facilitate design, construction and operation processes to form a reliable basis for decisions” (buildingSMART International, Guidance for Regulators: Industry Insight, November 2024). The official IFC 4.3.2.0 terminology uses the same idea, defining BIM as the “use of a shared digital representation of an asset to facilitate design, construction and operation processes to form a reliable basis for decisions” (IFC 4.3.2.0 Terms and Definitions).

That wording identifies three things a geometry-only file does not provide by itself:

  • A shared representation: participants work from information that can be coordinated and exchanged, rather than isolated files that only one discipline understands.
  • A process: teams agree what information is needed, who produces it, when it is exchanged and who is allowed to change it.
  • A decision basis: the information is structured so owners, designers, contractors and operators can use it for a defined decision or task.

A wall, door or air-handling unit therefore has an identity and meaning in the information model. It can carry a type, dimensions, material, performance values, location, classification, relationships to other objects and a record of requirements or issues. BuildingSMART describes these digital objects as having attributes and relationships that explain an item and its role in a physical asset; access and editing can be controlled through permissions (buildingSMART Technical).

The five layers that make BIM useful

1. Geometry and spatial context

Plans, sections, elevations, meshes and three-dimensional coordination are still important. Geometry shows where an object is, how large it is and how it relates spatially to adjacent objects. BIM tools can generate conventional drawings from the same coordinated information, so BIM does not replace documentation; it gives documentation a richer source.

2. Object properties

Properties turn an unlabelled shape into an identifiable asset component. A fire door might include its fire rating, acoustic rating, manufacturer reference, finish, inspection interval and installation status. A painted wall finish could carry a specification code, colour system, substrate, number of coats, area and maintenance instruction. The right fields depend on the project purpose; adding every conceivable field creates work without improving a decision.

3. Relationships and rules

Objects can be related to spaces, systems, zones, assemblies, documents and other objects. Those relationships support checks such as whether equipment is in the correct room, whether a door is hosted by the intended wall or whether a system connects to the correct plant. A relationship is more informative than a text note because software and reviewers can follow it consistently.

4. Requirements, responsibilities and exchanges

Information is useful only when the team agrees what “complete” means. An information requirement can specify the objects, properties, classification, level of detail, naming, file format, approval status and delivery date needed at a particular stage. Responsibility matrices and exchange points assign production and checking duties, preventing the assumption that someone else will fill a missing field later.

5. Lifecycle records

Design and construction information should be prepared for the next user. Handover may include verified equipment data, warranties, serial numbers, commissioning records, operation manuals, inspection intervals and space or system identifiers. The operational dataset is not necessarily the same file used for design coordination; it is a purposeful selection and validation of information for facilities and asset management.

BIM across design, construction and operation

BIM is best understood as information continuity with deliberate handoffs, not as one perfect model that remains unchanged forever. In the ISO 19650 context, delivery and operational information phases define what is created, approved and transferred. BuildingSMART’s professional guidance describes this “new way of working” as managing information through project stages and into use (buildingSMART Professional Certification: A New Way of Working).

Briefing and early design

At briefing, the owner’s needs become information requirements: spaces, capacities, performance targets, regulatory evidence and future operational needs. During concept and developed design, a shared representation allows disciplines to coordinate locations and interfaces while retaining each discipline’s responsibility for its information.

Construction delivery

Contractors and specialist fabricators can use coordinated information for sequencing, procurement, fabrication and installation planning. Site teams may add status, inspection, submittal and as-built information. Those additions need clear approval rules; a field mark-up is not automatically a verified asset record.

Handover and operations

At handover, the receiving organisation needs trustworthy information in a usable structure. A practical handover identifies which objects and documents are required, checks them against the agreed specification and records exceptions. IFC’s scope explicitly covers lifecycle data for buildings and infrastructure, including bridges, roads, railways, waterways and ports (IFC 4.3.2.0 Scope).

BIM versus geometry-only CAD or modelling

CAD remains valuable and can be part of a BIM workflow. The distinction is the surrounding information and process, not whether a file contains lines or three-dimensional shapes.

Question Geometry-only CAD or modelling BIM approach
What is represented? Lines, surfaces or solids primarily communicate form and location. Identifiable objects combine geometry with properties, classifications and relationships.
How is meaning conveyed? Meaning often depends on layers, symbols, notes and the author’s conventions. Meaning is attached to objects and agreed data definitions that other participants can interpret.
How are teams coordinated? Coordination may rely on file-by-file exchange, overlays and manual checking. Teams define responsibilities, information requirements, exchange points, approvals and issue workflows.
Can information move between applications? Exchange may lose object semantics or depend on a particular application. Open exchange requirements can use standards such as IFC, while the team verifies the actual export and import.
What happens after construction? Drawings may be archived, with operational data kept elsewhere. Verified handover information is selected and structured for operation and asset management.

A three-dimensional file can therefore fail to be useful BIM if its objects are unclassified, its requirements are unknown, its revisions are uncontrolled or its data cannot be checked and handed over.

OpenBIM and the standards that connect the workflow

“OpenBIM” describes a collaborative approach that enables cross-platform information sharing while allowing organisations to choose suitable tools and workflows (buildingSMART openBIM). It does not mean that every application exchanges every field perfectly. Export settings, mapping, version support, model quality and the project’s exchange requirements still determine the result.

IFC for exchange

Industry Foundation Classes (IFC) provide an open international schema for exchanging built-asset information between software applications. IFC 4.3 includes buildings and major infrastructure categories, so it is not limited to architectural building models. A project should state which IFC version, view or exchange requirement is expected and test representative files before relying on them for coordination or handover.

IDS for information requirements and checking

The Information Delivery Specification (IDS) gives teams a human-readable and computer-interpretable way to state what data a BIM delivery must contain and to check whether a dataset meets those requirements. buildingSMART announced IDS v1.0 as a final standard on June 4, 2024 (buildingSMART announcement, June 4, 2024). IDS can express requirements such as an object type, a property, an allowed value pattern or a classification. It is a checking mechanism, not a substitute for deciding which information the project actually needs.

BCF for issues

The BIM Collaboration Format (BCF) is a model-based, software-independent protocol for communicating coordination issues. A BCF issue can point to an object or viewpoint, state the problem, assign responsibility and track status without exchanging the entire model for every comment. Teams still need agreed response times, issue statuses and rules for closing an issue.

bSDD for shared terminology

The buildingSMART Data Dictionary (bSDD) supports consistent terms, classifications and definitions. Shared terminology reduces ambiguity when different organisations use different names for the same type of object or property. It is particularly useful when information crosses organisational or national boundaries.

How to set up a BIM information workflow

  1. Define the decisions and uses. List what the owner, designers, contractor and operator must decide or deliver. Examples include room-area validation, equipment procurement, installation status, commissioning and planned maintenance.
  2. Write information requirements. For each use, specify required objects, properties, classifications, documents, naming, units, accuracy, approval status and delivery date. Avoid asking for fields that no downstream user will use.
  3. Assign responsibility. Identify who authors, supplies, checks, approves and accepts each information package. Include specialist suppliers and the eventual operator where their data is needed.
  4. Define the common data environment and status rules. Set folders or containers, file naming, revision identifiers, permissions, review states and an audit trail. A shared folder without status and approval rules is not a controlled information workflow.
  5. Choose exchange methods. State the native formats, IFC version or other open exchange requirements, issue protocol and any IDS specifications. Test a sample exchange containing the object types and properties that matter most.
  6. Coordinate and resolve issues. Combine discipline information for agreed coordination checks, create BCF issues or an equivalent traceable record, assign each issue and retain the decision.
  7. Validate before every milestone. Check geometry, object identity, required properties, classifications, relationships, file health, naming and approval status. An automated check can find missing data; a responsible person must still judge whether the information is fit for purpose.
  8. Prepare the operational handover. Agree the receiving system and format early, then collect verified identifiers, manuals, warranties, commissioning evidence and maintenance data as work proceeds rather than attempting a last-minute reconstruction.

Who contributes what

BIM is collaborative, but collaboration does not erase professional accountability. The owner or appointing party sets outcomes and information needs. The lead designer or information manager coordinates the delivery plan and exchange rules. Architects, engineers and landscape or infrastructure designers author discipline information. Contractors and specialist fabricators contribute construction, product and installation data. Commissioning teams verify performance evidence. Facilities and asset managers define what must survive handover and use it after occupation.

Job titles vary by contract and country. What matters is that each required information action has an identified owner, checker and approval route. A model coordinator can identify a clash, but the relevant design or engineering authority must decide how it is resolved.

What BIM does not guarantee

  • No automatic savings percentage: adopting BIM alone does not establish a fixed reduction in cost, programme or errors. Outcomes depend on requirements, competence, data quality, contract arrangements and whether downstream users actually use the information.
  • No universal “level of detail” target: more geometry is not automatically better. A model should be sufficiently accurate and informative for its stated use and stage.
  • No single all-purpose model: authoring, coordination, fabrication and operations may require different views or datasets derived from controlled source information.
  • No perfect interoperability guarantee: an IFC export can omit, map or interpret data differently. Exchange tests and acceptance criteria remain necessary.
  • No software-defined identity: BIM is a method and information framework, not ownership of a particular application. Tools are selected to meet the project’s requirements.

Hardware, software and skills

Computing requirements vary by software release, model size, linked files, rendering, analysis and the user’s workload. Autodesk’s support page dated April 7, 2026 lists requirements for its Revit products by release; those figures are Revit-specific and should not be treated as universal BIM hardware rules (Autodesk Support, System Requirements for Autodesk Revit Products). Before buying workstations, test the largest expected model and coordination workflow, check graphics-driver support, plan reliable storage and backup, and confirm that collaboration services meet the project’s security and permission needs.

Skills extend beyond button-clicking in an authoring tool. Teams need information requirement writing, classification, naming, revision control, model checking, issue management, exchange testing and operational handover. buildingSMART’s Foundation learning outcomes include BIM definitions and ISO 19650 information management (buildingSMART Foundation). For a broad reference, Wiley identifies BIM Handbook: A Guide to Building Information Modeling for Owners, Managers, Designers, Engineers, and Contractors; the print ISBN is 9780470185285 (Wiley).

A practical example: painting information that survives handover

Consider a hospital refurbishment. A geometry-only drawing can show the wall boundary and a colour note. A BIM information package can identify each finish zone, connect it to a room and wall assembly, and record the coating system, colour code, substrate preparation, number of coats, product data sheet, fire or hygiene requirement, installer, inspection result and maintenance instruction. During design, the team checks that the specification suits the substrate and room use. During construction, the contractor records batch and installation status. At handover, the facilities team receives the verified finish schedule and cleaning or redecoration guidance.

The example is not an argument for filling a model with unnecessary paint data. If the operator only needs a finish code, location and maintenance interval, those are the requirements to define and check. The value comes from an agreed, traceable information chain, not from the visual richness of the model.

The bottom line for project teams

BIM is a decision-support system built around shared information. Geometry makes the asset visible, but properties, relationships, requirements, responsibilities, exchanges, issue records and verified handover make it dependable for people beyond the original modeller. Start with the decisions and lifecycle uses, specify only the information those uses require, assign responsibility, test exchanges and validate every delivery. That is how BIM becomes more than data modelling.
