A cabin welcome book should help guests arrive, get comfortable, use the property safely, and find routine answers without needing to contact you. Prepare a digital copy guests can read before arrival and keep a printed copy inside the cabin; make both specific to your property and easy to scan.

Put the most urgent information first
Organize the guide around what guests need to do, not around how you manage the cabin. A practical sequence is Wi-Fi, arrival, departure, house rules, appliances and systems, safety, waste, and local recommendations. This order follows the checklist in Hocking Hills Real Media’s cabin welcome-book guidance, published August 20, 2026.
- Use plain headings and short, numbered steps for tasks.
- Make arrival and emergency information easy to locate at a glance.
- Use property-specific wording instead of generic instructions that may not fit your cabin.
What to include in a cabin welcome book
Wi-Fi and connectivity
Give guests the network name and password, and note any practical limits they should know about. If cellular reception or internet availability affects how guests can get help or navigate to the property, explain that accurately.

Arrival and access
Provide the cabin’s full address, clear directions, check-in time, and the exact access instructions guests need. Explain where to park and how to enter. Verify codes and directions before each new set of guests; remove or update anything that has changed.
Departure
List the check-out time and only the tasks guests are expected to complete. Use short steps, such as where to leave keys or how to handle used towels, if those directions apply to your property.
Rank #2
House rules
State the rules guests need to follow, including any limits or restrictions that are specific to your cabin. Keep them concise and separate from operating instructions, so guests can distinguish what is required from how to use the property.
Appliances and cabin systems
Explain how to use equipment guests may not encounter at home, including relevant heating, water, or waste systems. Give the steps in the order a guest will perform them, name controls plainly, and add a brief note about what to do if the system does not work as expected. Do not assume guests know how a cabin’s particular equipment operates.

Safety and emergency information
Include the property address and the emergency contacts or local services guests may need. Identify where safety equipment is located and explain any property-specific steps guests should know. Check contact details, equipment locations, and instructions against the actual cabin before sharing the guide.
Trash and recycling
Tell guests what belongs in each bin, where to take it, and when it should be put out if collection timing matters. Spell out arrangements that may differ from what visitors expect; do not leave guests to infer them.
Rank #4
Local recommendations
Offer a short, accurate selection of nearby places or useful services. Verify that recommendations and details remain current, and distinguish practical essentials from optional suggestions.

Make instructions genuinely specific to your cabin
Generic templates can help with layout, but they cannot verify your access route, equipment, local restrictions, or emergency details. A digital template listing, for example, advertises editable sections for Wi-Fi, check-in and check-out, house rules, nearby places, and emergency contacts; it is a layout aid, not a substitute for accurate property information. See the Etsy listing for BravoCreatives’ editable cabin welcome-book template; its format and availability may change.

Published property guides illustrate why copying another cabin’s directions is risky: details such as access instructions, insect notices, fireplace reminders, and seasonal campfire restrictions apply to that particular property. Use the TerraCabins guest guide as an example of property-specific material, not as a source of rules for your own cabin. Confirm restrictions and safety instructions for your location and equipment.
Provide both a digital and an onsite copy
A digital guide lets guests read arrival and access details before they travel. A printed copy at the cabin remains available there without requiring guests to find a file on a phone or rely on a working connection. Hocking Hills Real Media recommends offering both formats; this is a practical recommendation, not a measured guarantee of fewer guest questions or better reviews.
Keep the digital and printed versions consistent when anything changes. A simple binder can keep the onsite pages together, but it is optional; the important part is that guests can find and read the instructions.
