The most reliable way to turn finished letterhead artwork into a reusable Word file is to place the design in the document’s header and footer, leave the letter area editable, and save the finished file as a .dotx template using desktop Microsoft Word. A PNG, JPG, or flattened PDF will preserve its appearance, but it will not automatically become editable text and shapes.
Choose the right kind of conversion
“Convert” can mean three different things:
- Place the design in Word: The letterhead remains a fixed image or background while the letter body can be edited.
- Recreate the design as editable Word content: Text, tables, shapes, and logos are rebuilt as separate Word objects.
- Save a reusable template: The finished document is saved as a Word template, normally with the .dotx extension.
One method rarely delivers maximum visual fidelity and maximum editability at the same time. For most businesses, the best compromise is fixed branding in the header or footer and editable letter content in the main document.

Check the source design first
Your starting file determines the workflow:
- PNG or JPG: Insert the finished artwork as a picture in the header and/or footer.
- Separate header and footer files: Insert each asset independently for better control over the writing area.
- Flattened PDF: Convert a page to an image for visual fidelity, or rebuild it if editability matters.
- Vector or layered artwork: Export a Word-friendly raster version unless you specifically need to reconstruct the design in Word.
- Separate logo and brand text: Insert the logo as an image and create the text natively in Word.
A PDF may contain live text and vector objects, or it may simply be a scanned or flattened picture. If editable content is essential, Adobe Acrobat can export PDF content to editable Word files, but complex layouts, unusual fonts, columns, and scanned pages may require substantial cleanup. Confirm these details before opening Word:
- Paper size: US Letter is 8.5 × 11 inches; A4 is a different size and should have its own template.
- Orientation: Portrait and landscape designs require different page settings.
- Writing area: Mark where body text may safely begin and end.
- First-page behavior: Decide whether the full design repeats on every page or only appears on page one.
- Printer margins: Keep important artwork away from the edge unless the intended printer supports borderless printing.
Export at the final page ratio and use an image with enough resolution for the intended output. Keep important text, logos, and contact details inside a print-safe area. If possible, export the top and bottom artwork separately rather than using one full-page image; this usually creates a smaller, more flexible Word file. Preserve the original editable design file outside Word so the artwork can be revised later.

Method 1: Use the complete design as a fixed background
This is the fastest option and usually gives the most faithful result.
- Open desktop Word and create a blank document.
- Go to Layout > Size and choose the design’s paper size.
- Use Layout > Orientation to select portrait or landscape.
- Choose Layout > Margins and set margins that leave the intended writing area clear.
- Double-click near the top of the page to open the header.
- Select Insert > Pictures and add the letterhead image.
- Select the image, open its layout or wrapping controls, and choose Behind Text when the artwork needs to sit behind the page content.
- Set the image to a fixed position relative to the page. Set exact dimensions where necessary and align it to the page rather than to an ordinary paragraph.
- Remove unnecessary paragraph spacing in the header.
- Close the header and type sample text in the main document.
Do not rely on manually dragging the image into place. An image anchored to a body paragraph can move when text is added, margins change, or the file is opened in another Word version. Keeping recurring artwork in the header is more reliable than inserting it into the document body.
Method 2: Add separate header and footer artwork
Use this approach when the design has a top logo area and a distinct bottom address, legal notice, color band, or social-information area.

- Open the header by double-clicking near the top edge.
- Insert the header image with Insert > Pictures.
- Set its wrapping and position relative to the page.
- Double-click near the bottom edge to open the footer.
- Insert the footer image and set its position independently.
- Check the footer distance from the page edge and ensure it does not overlap the body text.
- Add page numbers separately if the letterhead requires them.
Separate assets make it easier to vary the first page, create a simpler continuation-page header, and preserve more space for writing. They also require separate alignment and print checks.
Make the first page different
Professional stationery often uses a prominent first-page header and a smaller header on later pages. To configure this, open the header or footer and select Different First Page in the header and footer controls. The first-page header is then separate from the primary header used on continuation pages.
Configure both versions deliberately. You may want the logo only on page one, a reduced brand mark on later pages, or a page number in the footer. Test a letter long enough to create at least two pages; a one-page test cannot reveal a wrong continuation header.
Decide what should remain editable
Keep fixed elements in the header or footer
- Logo and brand marks
- Decorative color blocks, rules, and patterns
- Background shapes
- Standard contact information that should not be changed casually
Keep letter content in the main body
- Date
- Recipient name and address
- Salutation and subject line
- Letter text
- Closing and signature
Use content controls for repeatable team fields
For shared templates, Word content controls can provide date pickers, rich-text fields, picture placeholders, drop-down lists, and other guided inputs. On Windows desktop Word, enable the Developer tab through File > Options > Customize Ribbon > Main Tabs > Developer, then use the Controls group.

Use them for consistency, and use document restrictions separately if users must not alter the branding.
For simple personal stationery, content controls are unnecessary. A well-formatted body area with clear placeholder text may be easier to maintain.

Save it as a real Word template
When the layout is complete in desktop Word:
- Select File > Save As.
- Choose a storage location.
- Enter a clear name such as Company-Letterhead-MASTER.dotx.
- Set the file type to Word Template (.dotx).
- Select Save.
Microsoft documents the standard .dotx format, the macro-enabled .dotm format, and the legacy .dot format in its guide to saving Word documents as templates. Use .dotm only when the template contains macros.
To use the template, select File > New, open Personal or Custom depending on the Word version, and choose the letterhead template. Save the resulting letter as an ordinary .docx file. Do not edit and overwrite the master template.
What Word for the web can and cannot do
Word for the web can open and edit documents, but Microsoft says it does not support saving .dotx templates. If users work only in a browser:
- Create a normal .docx master in desktop Word, if available.
- Store it in OneDrive or SharePoint.
- Make the master read-only or restrict its editing permissions.
- Tell users to choose Save a Copy or duplicate the file before entering a letter.
This produces a practical copy-based workflow, not a true Word template. The labels and available options can vary between Windows desktop Word, Mac, and the web version; Microsoft’s template guidance covers the platform distinction.
When rebuilding the design in Word is worthwhile
Recreate the letterhead with Word-native text, tables, shapes, paragraph styles, and inserted logos when people must regularly edit addresses, departments, contact details, or other brand components. Tables are often more stable than scattered text boxes for alignment, while simple shapes can reproduce lines and color blocks.
This approach can improve accessibility because essential words exist as actual document text rather than pixels. It is also easier to localize for multiple offices or paper sizes. The trade-off is time: complex designs may not reproduce accurately, and Word layout can vary across platforms and versions. If appearance is more important than component-level editing, use fixed artwork instead.
Optional watermark method
For a faint, full-page background, Word provides Design > Watermark > Custom Watermark > Picture Watermark. Microsoft explains this workflow in its guide to custom watermarks.
A watermark is an alternative, not the universal letterhead solution. A normal header image generally provides better control over exact placement, full-strength color, footer separation, and different first-page behavior. Use the watermark route when the artwork is genuinely intended to function as a background or faint page graphic.
Test the template before distributing it
- Create a new document from the .dotx file.
- Type several paragraphs and confirm that text does not overlap the artwork.
- Add enough text to create a second page.
- Check first-page, continuation-page, footer, and page-number behavior.
- View the design at 100% zoom.
- Print it or export it to PDF.
- Check the intended paper size, margins, and page edges.
- Open it on another computer if it will be shared.
- Check fonts, line spacing, image placement, and file performance.
- Confirm that typing does not move the artwork.
- Confirm that the master .dotx remains unchanged.
PDF export is especially useful because screen previews may not reveal clipping or printer-margin problems. Test the actual printer when the letterhead will be printed rather than sent electronically.

Troubleshooting common problems
The image moves when text is added
Open the header, select the image, change its wrapping and positioning, and set its position relative to the page. Keep recurring artwork in the header or footer rather than the body.
Body text begins too high
Increase the top margin or header distance, then test with several paragraphs. A clear body style is preferable to relying on many manually inserted blank lines.
The design is clipped in print
Confirm the page size, move important details inward, or use a borderless-capable printer. If necessary, create a print-safe version with smaller artwork. Word cannot force a printer to print in a non-printable region.
The letterhead looks faded
The design may have been inserted as a watermark or assigned transparency or washout settings. Check those settings, and use a normal header image when full-strength color is required.
The second page has the wrong header
Enable Different First Page, configure the first-page and primary headers separately, and test a document of at least two pages.

Crop unused image space, export at an appropriate print resolution, and use separate header and footer assets. Keep the original high-resolution design outside the Word file.
Fonts change on another computer
Use broadly available fonts, verify licensing before distributing them, and test on the computers your team actually uses. Provide a PDF when fixed layout is more important than editability.
Users overwrite the master
Store the master in a controlled location, use a clear filename such as Company-Letterhead-MASTER.dotx, make it read-only where appropriate, and instruct users to create a new document from it.
Which supporting tool is appropriate?
You may not need another tool. If the artwork is already finished as a PNG or JPG, desktop Word is usually enough to build the template. Canva is useful when the design still needs to be created or revised; its documented export options include PDF, JPG, and PNG, but exporting a native Word template is not guaranteed. Use Acrobat when the source is a PDF and recovering editable text is genuinely necessary. Treat the converted Word file as a starting point and inspect every element before saving it as a template. Paid conversion software is unnecessary for a simple image-based letterhead.
Microsoft lists Word for the web as free and desktop Word as part of relevant Microsoft 365 offerings; prices and availability change by region and date. Check the official Word page for current options.

Can Word automatically turn a letterhead image into editable text?
No. Text in a PNG, JPG, or flattened PDF remains part of the image. Rebuild the text in Word or try PDF-to-Word conversion when the PDF contains recoverable text, then review the result.
What file format should I use for a Word letterhead template?
Save a desktop Word template without macros as .dotx. Use .dotm only if the template contains macros. A regular .docx master is a practical option for people who work only in Word for the web and can duplicate it for each letter.
