The best ergonomic office chair is the one that fits your body, desk, and working habits—not the one with the longest feature list. Check seat height, depth and width; place adjustable lumbar support against your lower back; set the recline and arms so you can approach the desk; and support your feet on the floor or a footrest. Then adjust the monitor and keyboard and change position regularly.

OSHA calls a well-designed, appropriately adjusted chair “an essential element of a safe and productive computer workstation.” Its guidance also says to try different chairs before buying, because specifications alone cannot prove personal fit.

Why “ergonomic” is not a specification

Ergonomic is a description of a relationship between a person and a workstation. A chair that supports one user may leave another’s knees pressed by the seat edge, shoulders elevated by fixed arms, or feet dangling because the desk is high. The useful question is not whether a chair carries an ergonomic label; it is whether its adjustment range lets you work with supported thighs and hips, a neutral lower back, relaxed shoulders, and stable feet.

OSHA’s chair guidance explains the principles in its Computer Workstations: Workstation Components—Chairs page. The agency’s purchasing examples are starting points, not universal clinical rules: OSHA explicitly notes that its criteria may not accommodate every body type. Measure yourself, compare those measurements with the manufacturer’s specification sheet, and test the chair in the posture you actually use.

What to check before you buy

Seat height and desk compatibility

Adjust the seat so both feet are supported by the floor or a footrest while your thighs remain broadly parallel to the floor and your knees are about level with your hips. Your work surface must allow that position without forcing your shoulders up or your elbows away from your sides. If the desk cannot be lowered, OSHA recommends a footrest rather than leaving your feet unsupported.

OSHA’s purchasing guide gives an example seat-height range of 15–22 inches. Treat that as a comparison reference: the correct setting is the one that supports your feet and lets you reach the keyboard without shrugging.

Seat depth: support the thighs without pressure behind the knees

The seat should support most of your thighs while leaving the back of your knees free. A pan that is too long pushes you away from the backrest or compresses the knee area; one that is too short leaves too much thigh unsupported. OSHA identifies adjustable seat depth as a way to accommodate shorter and taller users while preserving back support. Its example pan length is 15–17 inches.

When a chair has a sliding seat, sit fully back, then move the pan until you can keep contact with the backrest without the front edge touching behind your knees. If depth is fixed, compare the stated dimension with your own seated thigh length and use the seller’s return terms as a safeguard.

Seat width and surface

You should be able to sit centered with room for natural leg movement, but not so much lateral space that the armrests are unusably far away. OSHA’s purchasing guide uses about 18 inches as a minimum seat-pan width. That is a screening value, not a promise of comfort. Check the usable width between bolsters, the firmness and thickness of the cushion, and whether the front edge rounds away from the legs.

Materials change the experience. Dense foam or spring-coil cushioning are features NIH Office of Research Services lists as relevant when evaluating chairs, but neither material is automatically better; the surface must remain comfortable during your longest work session and suit your temperature and clothing preferences.

Lumbar support and backrest shape

The lumbar support should meet the inward curve of your lower back while you are in your normal working posture. OSHA recommends height-adjustable lumbar support so the support can move to the user rather than forcing the user to slide down or arch excessively. Check whether the support moves vertically, changes firmness, or is built into a shaped backrest.

A backrest should follow the natural curvature of the spine and support the back when you recline. A rolled towel or removable lumbar cushion can be a temporary solution when a chair lacks adequate adjustment, but it may change your seat depth and should not be used to hide a fundamentally poor fit.

Recline, tilt, and movement

Look for a backrest that can recline at least 15 degrees, with a lock or adjustable tension, as OSHA recommends. A useful mechanism lets you move between upright typing, a slight recline for reading, and a deeper supported recline without a sudden release. Set tension so the backrest follows you without requiring constant muscular effort; use a lock only when a task genuinely calls for a fixed angle.

Armrests that help rather than block

Adjustable arms should let your shoulders relax, elbows stay close to your body, and forearms rest lightly when you are using the keyboard or mouse. OSHA’s purchasing example places armrest height between 7 and 10.5 inches above the seat pan. Width adjustment, pad shape, and swivel or pivot behavior matter when your desk is narrow or your work alternates between keyboard, drawing surface, and phone.

Check the lowest arm position against the underside of your desk. Arms that are too high prevent the chair from moving forward; arms that are too wide encourage reaching. If you work without arm support for part of the day, verify that the pads can be lowered or moved out of the way.

Base, casters, and maintenance

OSHA’s quick checks call for a five-leg base with casters suited to easy movement. Match the casters to the floor: hard casters can roll too freely on a smooth surface, while soft or braking casters may be preferable on hard flooring or a mat. Check the base for wobble, the lift for smooth operation, and the upholstery or mesh for cleanability. A stable chair that rolls only when you intend it to is easier to position precisely at the desk.

Feature OSHA example How to apply it
Seat height 15–22 inches Choose a range that supports your feet and aligns you with the work surface.
Seat-pan length 15–17 inches Confirm the edge does not press behind your knees when you sit fully back.
Seat-pan width About 18 inches minimum Check usable width and armrest spacing for your body and clothing.
Seat depth Adjustable Sliding depth can accommodate different thigh lengths while maintaining back contact.
Recline At least 15 degrees Look for a lock or adjustable tension so you can change posture deliberately.
Armrest height 7–10.5 inches above the seat pan Use the range as a reference and ensure the arms do not hit the desk.

Set up the chair and workstation together

Adjustments work as a chain. Start with the body and chair, then position the desk equipment around that posture rather than raising the chair until the keyboard happens to feel convenient.

  1. Set the seat height. Sit back and lower or raise the seat until your feet are flat on the floor. If the desk remains too high, add a stable footrest and keep the feet fully supported.
  2. Set the seat depth. Slide the pan, if available, so the backrest supports your lower back while the front edge clears the backs of your knees. With a fixed pan, use the return policy if the geometry cannot meet both conditions.
  3. Position the lumbar support. Move the support to the hollow of your lower back. Recheck it after adjusting depth or recline because those changes alter where your back contacts the chair.
  4. Choose a working recline. Use enough tension that the backrest follows controlled movement. Lock the angle only for tasks that need a fixed position.
  5. Set the armrests. Lower or raise them until shoulders are relaxed and elbows remain near your sides. Move them inward or outward to match your keyboard and mouse position, and lower them if they stop the chair from approaching the desk.
  6. Place the keyboard and pointing device. Bring them close enough that you do not reach forward. Keep wrists as straight as your equipment and task allow, and let the forearms rest lightly rather than bearing your body weight on the pads.
  7. Set the monitor. Center the primary screen in front of you and place it where you can read without bending your neck toward the desk. If you use two screens, position the one used most directly in front and turn your chair rather than repeatedly twisting your torso.
  8. Recheck the complete position. After ten to fifteen minutes of normal work, look for pressure behind the knees, unsupported feet, raised shoulders, or a tendency to slide forward. Correct the adjustment that causes the problem instead of adding cushions indiscriminately.

OSHA’s workstation evaluation checklist specifically asks whether the seat edge presses behind the knees, whether the thighs are supported, whether seat height aligns with the work surface, and whether armrests support the forearms without interfering with chair positioning.

Movement matters as much as the static setting

A carefully adjusted chair cannot make prolonged stillness a good work pattern. OSHA states, “Regardless of how good your working posture is, working in the same posture or sitting still for prolonged periods is not healthy.” Its neutral-posture guidance recommends small chair and backrest adjustments, stretching, periodically standing and walking, and performing some tasks while standing.

Use the chair’s recline and tilt during reading or calls, stand for brief tasks when practical, and change leg, back, and arm positions before discomfort builds. These are behavior changes, not a promise that any chair prevents pain. Persistent or severe symptoms warrant advice from an appropriately qualified health professional.

How to test a chair or read a specification page

In a showroom or office

  • Bring the shoes you normally wear and sit for more than a few seconds; OSHA recommends trying different chairs and checking comfort and fit over an extended period before purchase.
  • Measure the lowest and highest seat settings, then test the desk you will use.
  • Confirm that the depth adjustment keeps the seat edge away from your knees while your back stays supported.
  • Reach for the keyboard, mouse, phone, and any drawing or reference surface you use. Arms and backrest should not force you away from the desk.
  • Try upright and reclined positions, checking whether tension changes smoothly and whether the base remains stable.

On a product page

  • Record actual seat-height, seat-width, and seat-depth figures for the exact size and configuration, not a family-level marketing range.
  • Look for a diagram showing lumbar location, backrest height, armrest range, and the mechanism’s lock or tension controls.
  • Check which features are standard and which require a configuration choice. A nominal model name may cover several arm, lumbar, caster, or upholstery combinations.
  • Read the current return window, warranty, assembly requirement, shipping limits, and stock status before ordering. These commercial terms change and must be verified for the exact seller and region.

Example: what the Aeron documentation does—and does not—tell you

The manufacturer describes the Aeron chair as available in sizes A, B, and C and lists adjustable PostureFit SL, Harmonic 2 Tilt, and multiple arm options. Its specifications page also lists adjustable lumbar support and tilt options: Aeron Chair overview and Aeron Chair Specs.

When a footrest or lumbar cushion is the right fix

Use a footrest for a desk-height mismatch

If raising the chair is necessary to reach a tall work surface but leaves your feet unsupported, a stable footrest can restore contact with the floor-equivalent support. It should be wide enough for both feet, resist sliding, and let you keep your knees near hip level. Do not use a footrest to compensate for a seat pan that is pressing behind your knees.

Use a lumbar cushion for a specific support gap

A removable cushion or rolled towel can fill a clear gap between your lower back and the backrest. Check the result with the seat depth: extra thickness can push you forward and create knee pressure. If the cushion is needed at every setting, a chair with built-in height-adjustable lumbar support is likely a better fit.

Standards: read the claim precisely

The ANSI Webstore description of CSA Z412-2024 — Office ergonomics says the standard applies ergonomics guidance to offices, home offices, and alternative workspaces. It also states that it is not a product-compliance standard and points to separate furniture standards for dimensions and product safety or durability. Therefore, a statement that a chair is “CSA Z412 compliant” should not be treated as a product certification based on this description.

NIH Office of Research Services lists seat-pan fit, sliding depth, lumbar support, backrest angle and in/out/height adjustments, armrest adjustment, seat-height adjustment, and chair tilt among relevant chair features on its Ergonomics Chairs page. That page currently says it is under review, so confirm its status and wording if you rely on it for a purchasing policy.

A practical decision checklist

  • Can your feet stay supported while the chair aligns you with the desk?
  • Does the seat support your thighs without touching behind your knees?
  • Can the lumbar support meet your lower back at your normal recline?
  • Can you recline and return upright with controlled tension?
  • Do the arms let your shoulders relax and still allow the chair to approach the desk?
  • Are the base and casters stable and appropriate for your floor?
  • Have you checked the exact configuration’s dimensions, return conditions, warranty, assembly, and regional availability?
  • Will you be able to change posture, stand, and walk during the workday?

If any answer is no, the chair is not ready for purchase, regardless of its label. Fit, adjustability, and a workstation arranged around your body are the measurable parts of an ergonomic seating decision.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
