The most expensive renovation mistakes usually happen before the first wall is opened or painted: choosing a contractor on price alone, signing a vague agreement, approving undocumented changes, or starting without a clear permit and records plan. You can reduce those risks by vetting the contractor first, making the written scope and contract precise, controlling every change and payment, and keeping permits and project records organized.

These safeguards cannot eliminate hidden conditions, owner decisions, material delays, or every schedule problem. They do give you evidence, leverage, and a process for resolving issues before a small misunderstanding becomes a costly rework bill.

1. Vet the contractor before you compare prices
A low bid is not a bargain if the contractor is unlicensed, uninsured, unable to finish, or pricing a different scope from everyone else. Start by checking the person or company, then compare bids that describe the same work.
Verify licensing and insurance
Ask for the contractor’s license information and verify it with the relevant state or local licensing authority. Request current proof of liability insurance and, where applicable, workers’ compensation coverage. Do not rely on a verbal assurance or a logo on a truck; ask for documents and confirm that the names and dates match the contracting business.
The Federal Trade Commission’s home-improvement guidance recommends checking licensing and references before hiring. Licensing rules differ by location, and some jurisdictions regulate particular trades or project values differently, so use your own state or local authority as the final source.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsCheck references and complaint information
Ask for several recent customers whose projects resemble yours. A useful reference conversation covers whether the contractor kept the agreed scope, communicated schedule changes, handled damage or cleanup, and completed punch-list work. Look for complaint and disciplinary information through the licensing authority and applicable consumer-protection agencies. A clean search is not a guarantee, but unexplained gaps or a pattern of unresolved complaints deserve a direct explanation.
Get multiple written estimates
The FTC’s Consumer Advice page, “How To Avoid a Home Improvement Scam,” says: “Get multiple estimates. A written estimate should include a description of the work to be done, materials, completion date, and the price.” Obtain enough bids to identify meaningful differences rather than treating the first number as a baseline.
A bid far below the others needs an explanation. It may omit preparation, repairs, disposal, permits, finish coats, or a material allowance that the other bidders included. Ask the contractor to identify every exclusion and allowance in writing. The lowest total is not a reliable selection rule when the scopes are not equivalent.

Normalize bids before deciding
Put each proposal into a comparison sheet using the same written scope. The following checkpoints expose differences that a headline price hides:
| Comparison point | Questions to ask every bidder |
|---|---|
| Included work | Which rooms, surfaces, demolition, repairs, preparation, installation, cleanup, and disposal are included? |
| Materials | What brands or grades, quantities, finishes, fixtures, and delivery costs are included? |
| Exclusions and allowances | What is explicitly excluded, and which amounts are allowances that could change after selections? |
| Timing | What start and completion dates are estimated, and what events could move them? |
| Payments | What amount is due at signing and at each measurable milestone? |
| Warranty | What labor or material warranty applies, for how long, and how are claims submitted? |
| Credentials | What license, insurance, references, and complaint history can be verified? |
| Permits | Who applies, pays for, schedules, and closes required permits and inspections? |
| Changes | How must a change be priced and approved before work proceeds? |
Ask each bidder to explain a material price or schedule difference. Keep the explanation with the estimate so you can tell later whether an apparent “extra” was already included in another bid.
2. Make the estimate and contract specific
A handshake and a one-line total leave too many opportunities for disagreement. Turn the selected estimate into a signed contract that describes what will happen, what it will cost, and how uncertainty will be handled.
Write a complete scope of work
Describe the areas and tasks in observable terms. For a painting job, that might identify each room or exterior elevation, surface preparation, repairs, primer, number or type of finish coats if established, trim and doors, protection of adjacent areas, daily cleanup, and final touch-up. For a larger remodel, identify demolition, installation, subcontracted work, disposal, and restoration of affected areas. Include the materials, finish or performance requirements, and who supplies selections.
List exclusions and allowances next to the included work. A blank space is not a harmless shortcut: fill it in or mark it “not applicable.” If a contractor makes a promise during a meeting or site visit that matters to your decision, put that promise in the contract or an attached written clarification.

Record timing and responsibilities
State the estimated start and completion dates, working hours, access arrangements, and any owner decisions needed by a deadline. Identify who protects furniture and floors, obtains utility locates where relevant, coordinates subcontractors, removes debris, and performs final cleanup. A date described as “when materials arrive” is less useful than a date accompanied by the event that controls it and the notice you will receive if it changes.

Set the payment schedule
Write the contract price and each payment amount or formula, with the work that makes a payment due. Avoid a schedule that pays most of the price before the corresponding work is complete. Retain enough leverage for documented punch-list items, consistent with local law and the contract. Do not assume one deposit percentage is legal everywhere: deposit limits and contract requirements vary by state and locality.
Include warranties and written change orders
Specify labor and material warranties, exclusions, start dates, and the process for reporting a defect. Then require a written change order before changed work begins. It should state:
- What is being added, removed, or substituted.
- The increase or decrease in price, including taxes or allowances.
- The effect on the completion date or individual milestones.
- Any revised material, finish, or warranty terms.
- The signatures or other approvals required from both parties.
Contract formalities, cancellation language, and required disclosures vary by state. The FTC explains that certain contracts signed in a consumer’s home or away from a seller’s permanent place of business may carry a three-business-day cancellation right, but that is a conditional rule, not an automatic right for every renovation. Check the applicable law and the contract you receive at the time of signing.

Renovation budgets move when the scope moves. A disciplined approval process lets you decide whether a change is worth its cost before the contractor commits labor or materials.
Use a change-order decision gate
- Pause the affected work and ask why the change is needed. It may be an owner preference, an unforeseen condition, a code requirement, or a correction of an error.
- Request a written description, itemized price, material details, and schedule effect.
- Check the original scope, allowances, and exclusions to see whether the work was already included.
- Decide whether to approve, revise, postpone, or reject the change.
- Sign or otherwise document approval before the changed work starts, and update the running project total.
For example, if damaged substrate is discovered beneath a finish, the written change should identify the area, repair method, added materials and labor, and expected delay. “We will figure it out later” is not a price-control method.
Pay with traceable methods
Do not pay the full project amount upfront. The FTC also warns consumers to be cautious about pressure to pay in cash. Use a payment method that creates a record, retain receipts, and match each payment to the contract milestone or an approved change order. Never sign a blank receipt, completion certificate, or lien-related document that you do not understand.

Use the deposit and progress-payment rules that apply where the project is located. A local consumer agency or licensing authority can tell you whether the jurisdiction caps deposits, requires specific disclosures, or provides a complaint process. There is no universal deposit percentage that is safe or lawful for every renovation.
Keep a live budget and approval log
Maintain one current total that starts with the contract price, adds approved changes, subtracts credits, and records payments. Give each change an identifier and date. Before approving a new option, record the cost and schedule effect alongside the reason for the decision. This prevents an allowance, substitution, or verbal upgrade from disappearing into the final invoice.

Permit and inspection rules depend on the location and the work. Before construction or demolition begins, determine whether permits are required and put responsibility for obtaining, paying for, posting, and closing them in the contract.
Confirm permits and inspections
Ask the local building department or other responsible authority what approvals apply. Clarify which inspections are required, who schedules them, and how you will receive evidence that they passed. Do not assume that the contractor’s license covers the property or that a permit is unnecessary because the work looks cosmetic. Unpermitted work can leave the homeowner responsible for corrections, delay a sale, or create insurance and safety complications.
Keep permit numbers, inspection dates, correction notices, and final approvals with your contract. If the contractor says a permit is not needed, record that answer and verify it independently when the consequences of being wrong would be significant.
Build a project file from day one
Use a renovation project journal, a project notebook, or a phone and cloud folder. The format matters less than consistent, dated entries. Keep:

Photographs should show context as well as detail: take a wide view, a closer view, and a dated record of measurements or locations when useful. Save original files rather than relying only on compressed messaging-app copies.
Plan for interruption or contractor failure
Before work starts, ask, “What if the contractor cannot finish?” The 2025 guidance from the National Association of Home Builders and the National Association of the Remodeling Industry recommends making a “What if…” plan and documenting dates, photos, communications, and receipts. Your contract should explain notice, termination, ownership or return of materials, access to the site, treatment of deposits, and the handoff of permits and unfinished work, subject to local law.
If a dispute develops, keep communication factual and in writing. Refer to the contract clause, the dated photo, the inspection result, or the change order rather than relying on memory. If the issue involves licensing, unsafe work, a lien threat, or a substantial sum, contact the relevant local agency or a qualified construction attorney promptly.

Use this final check before authorizing the first day of work:
- License and insurance were independently verified.
- References and complaint information were checked.
- At least two written bids were compared against the same scope.
- Included work, materials, exclusions, allowances, dates, price, warranties, and cleanup are written down.
- Permit and inspection responsibility is assigned and verified.
- Deposit and progress payments comply with local rules and are traceable.
- Change orders must show price and schedule impact before work starts.
- A project folder or journal is ready for photos, messages, receipts, and approvals.
- The contract explains what happens if work stops or the contractor cannot finish.
Following these steps improves control; it does not create a guaranteed renovation-overrun percentage or prevent every surprise. Hidden conditions, material availability, design decisions, and required corrections can still change the cost and timing. The goal is to identify those effects early, make informed decisions, and preserve a clear record of what everyone agreed to do.
