An ethical, sustainable supply chain for architecture and interiors is not proved by one logo or a single carbon number. Make each material decision against two evidence tracks at once: environmental performance (including embodied carbon, hazards, durability and end-of-life) and human impact (labor rights, due diligence, community health and remedy). Then document the chain-of-custody model, product data and procurement controls that support the specific claim you intend to make.

The practical test is whether a requirement survives from the project brief through specification, submittal review, contractor purchasing and installed-product tracking. A certificate, Environmental Product Declaration (EPD) or “traceable” statement can be useful evidence, but each covers a defined scope and leaves other questions unanswered.

Why environmental and social performance belong in one material decision

Material choices influence a building’s climate impact and the people who extract, process, make, transport, install and eventually recover those materials. The American Institute of Architects (AIA) Design for Resources framework asks teams to consider embodied carbon, labor practices, material transparency and end-of-life outcomes together. Separating these issues can produce a low-carbon product made under unacceptable conditions, or a socially responsible product whose short life and disposal burden undermine the project.

Use the following questions at the outset of every package:

  • How can material selection reduce hazards and support equitable labor practices in the supply chain?
  • How does the project promote zero waste throughout its life cycle?
  • How are materials and products selected and designed to reduce embodied carbon and environmental impacts while enhancing building performance?

These are decision questions, not marketing language. Record the answer, the evidence supplied, its geographic and product scope, and any unresolved risk in the project’s material schedule.

Set the brief before you shop

Define performance and impact requirements

Write the required technical performance first: service conditions, fire and moisture requirements, acoustics, slip resistance, cleanability, expected service life and repair needs. Add impact requirements in the same brief. Ask for embodied-carbon data, hazardous-ingredient information, labor and human-rights evidence, chain-of-custody details, take-back or recovery options and the documentation needed at submittal.

Budget for verification

AIA advises budgeting time and fees for research, specification, review and tracking. A requirement that is not reviewed during contractor procurement can disappear when an equivalent product is substituted. Assign an owner for each check, define acceptable evidence and state what happens when a proposed substitution does not meet the requirement.

Choose circular strategies before new materials

Reducing demand is often more robust than trying to offset impacts after purchase. Evaluate existing-building reuse, salvage, space efficiency, long life, adaptability and structural optimization before selecting new products. For interiors, ask whether a component can be repaired, reupholstered, refinished, demounted or moved to another room instead of replaced.

ISO 14009:2020 provides design guidance on material circulation. Its scope covers material type and quantity, extending product lifetime, and recovering products, parts and materials. ISO published the edition on 21 December 2020 and confirmed it current after review on 5 March 2026. Use it as a design reference rather than as a certificate that a particular product is circular.

Specify what happens at the end

Require disassembly information, replaceable-wear-part details, material identification and return or recovery instructions where they exist. Distinguish a manufacturer’s take-back offer from a guaranteed recycling route: state who accepts the product, in which regions, under what condition and whether transport or processing fees apply.

Build an evidence stack—and know its limits

Environmental Product Declarations

An EPD reports life-cycle impacts for a defined product, declared or functional unit, life-cycle modules and geography. Use it to compare technically comparable products, not to rank unrelated materials on a single headline number. Check the program rules, validity date, manufacturing sites covered, declared service life and whether transport, installation, replacement and end-of-life stages are included.

Health and ingredient transparency

AIA identifies EPDs, Health Product Declarations (HPDs) and Declare labels as useful transparency resources. They can clarify product composition, hazards or environmental impacts within their respective formats. None should be presented as proof of fair wages, safe workplaces, freedom from forced labor or effective grievance handling. Request separate social evidence.

Use EC3 for comparable carbon data

Building Transparency describes EC3 as a free, open-access tool with a database of third-party EPDs. It supports finding and comparing building materials with supply-chain-specific EPD data, project carbon comparisons, product EPD data declaration and digital EPD auditing. Check its current documentation because features and integrations can change.

In markets where EPD data exists, Building Transparency reports observing “30% or more” reductions and describes a Microsoft project reduction of at least 30% against a baseline. Those are organization-reported observations and a case study, not a guaranteed saving for your project. Treat any result as dependent on product category, baseline, specification and available EPD coverage.

Understand the chain-of-custody claim

Ask a supplier to name the accounting model instead of accepting “traceable” as a complete answer. ISO reported on 20 March 2026 that ISO 22095-2 and ISO 22095-3 establish harmonized requirements for mass-balance and book-and-claim models.

Model What happens to material What to verify
Physical segregation Qualifying material is kept separate from conventional material through the defined custody boundary. Where segregation starts and ends, identification controls, conversion losses and the exact claim permitted.
Mass balance Qualifying and conventional inputs may be mixed. The claim is based on accounting quantities entering and leaving the system. Accounting period, input and output quantities, allocation rules, sites covered and controls against double counting.
Book and claim The sustainability characteristic is transferred through administrative instruments; the physical material does not have to move with the attribute. Registry or instrument owner, geographic and temporal boundaries, retirement rules and wording that clearly distinguishes an attribute transfer from physical delivery.

These models support different claims. Do not describe a book-and-claim purchase as physically segregated material, and do not imply that a mass-balance percentage identifies the exact molecules or fibers in a delivered product. Jack Steijn, chair of ISO/TC 308, said the two new parts “reduce the risk of misinterpretation and double counting, strengthen the integrity of sustainability claims and establish core principles that will guide future standardization efforts across industries.”

Assess labor and human-rights risk separately

Request the supplier’s due-diligence process, production-site list, worker-protection policies, recruitment-fee controls, grievance channels, incident records and remediation process. Ask how subcontractors are identified and how findings are corrected, not only whether a facility holds a certificate.

The OECD’s 2025 report on sustainability certifications in garment and footwear warns that origin and chain-of-custody certification alone does not establish a due-diligence management system or demonstrate risk outcomes. That finding is sector-specific; apply its caution to interiors textiles as a warning about certificate scope, not as a claim that every architecture product has been audited or that every certification fails.

For higher-risk materials or regions, require escalation triggers: refusal to disclose production sites, credible allegations, recruitment debt, excessive working hours, unexplained subcontracting or a missing grievance mechanism. Define a remedy path and a decision to pause, replace or retain the supplier with corrective action. Keep social-risk evidence in its own section of the submittal so an EPD cannot be mistaken for labor proof.

Carry requirements from specification to installation

  1. Write the project brief. Set performance, carbon, health, labor, chain-of-custody, durability and end-of-life requirements, including acceptable evidence and geographic limits.
  2. Prioritize reuse and longevity. Test existing, salvaged, adaptable and repairable options before defaulting to new procurement.
  3. Issue an evidence request. Ask for the applicable EPD, HPD or Declare document; production sites; chain-of-custody model; labor due-diligence description; grievance and remediation process; durability data; and take-back instructions.
  4. Screen for completeness. Check product identity, manufacturing location, validity dates, declared unit, life-cycle stages, certificate scope and whether documents cover the exact factory and configuration proposed.
  5. Compare like with like. Use EC3 or another documented method for comparable EPDs. Record category, functional unit, geography, life-cycle modules and data quality before selecting a lower-impact option.
  6. Review social risk. Evaluate site disclosure, worker protections, subcontracting controls and remediation separately from environmental scores.
  7. Lock the requirement into procurement. Put approved manufacturer, model, evidence and substitution rules in the specification. Require equivalent documentation for alternatives.
  8. Review submittals. Confirm that the submitted product, factory, chain-of-custody model and documents match the specified item before approval.
  9. Track what is installed. Record final manufacturer, model, site, quantity, certificates and take-back information in the closeout record so future repair, reuse or recovery is possible.

Compare options with a documented decision matrix

There is no universal weighting that fits every project. Build a matrix around the project’s risks and disclose the evidence behind each rating.

Decision axis Questions to record
Environmental performance What EPD scope, declared unit, life-cycle stages, geography and data quality support the embodied-carbon comparison?
Labor, human rights and community Are production sites disclosed? What due-diligence, worker-protection, grievance and remediation evidence exists?
Chain of custody Is the claim physically segregated, mass balance or book and claim? What boundary and accounting rules apply?
Health and ingredients What do the EPD, HPD, Declare label or other documents cover, and which hazards remain unaddressed?
Durability and circularity Can the product be repaired, reused, disassembled, taken back or recovered, and for how long is support available?
Procurement feasibility Is the product available in the project region and schedule? Are documents current, exact and contractually enforceable?

Common failure modes and corrections

“The certificate proves ethical sourcing.”

Correction: State the certificate’s product, site, geographic and chain-of-custody scope, then obtain separate due-diligence and worker-outcome evidence.

“Traceable” without an accounting model

Correction: Name physical segregation, mass balance or book and claim, and explain what the purchaser actually receives.

An EPD used as a labor credential

Correction: Keep environmental life-cycle data and social-risk evidence in separate fields and review both before approval.

A sustainable specification lost during substitution

Correction: Require equivalent documentation, chain-of-custody terms and social evidence for every proposed alternative; review it before acceptance.

Comparing incomparable EPDs

Correction: Align product category, declared or functional unit, life-cycle modules, geography, service life and data quality. If a value is not established, record it as “not stated” rather than guessing.

What defensible practice looks like

A defensible material decision has a clear project need, a circularity check, comparable environmental data, separately documented labor-risk controls, an explicitly named chain-of-custody model and a procurement trail that identifies the installed product. This approach does not promise a perfect supply chain; it makes the project’s claims proportionate to the evidence and creates a process for correction when conditions change.
