Document paint and coating selections against the exact Green Star rating tool, version, credit pathway and submission stage registered for the project. Start with a traceable register for every distinct product and application, attach current manufacturer or supplier evidence for the formulation actually supplied, calculate quantities using the applicable tool’s denominator, and identify exclusions and exceptions explicitly. Green Star Buildings v1.1 Rev A is the current Buildings tool; projects already registered under Buildings v1 may continue under that version, so historical Buildings v1 or older Design & As Built examples must not be treated as universal current limits.

1. Confirm which Green Star rules govern the project
Paint documentation is not a standalone checklist that applies identically to every Green Star submission. Requirements change with the registered rating tool, revision, credit, pathway and submission stage. Record those decisions before asking suppliers for documents or calculating compliance.

Record the governing project details
- Project name and Green Star rating tool.
- Tool version and revision, including whether the project is registered under Buildings v1 or Buildings v1.1 Rev A.
- Credit name and whether the claim is for Minimum Expectation, Credit Achievement or another pathway in that tool.
- Submission stage and the date on which the applicable Submission Guidelines were checked.
- The person responsible for reviewing product evidence and approving the final schedule.
GBCA states that teams need to follow the Submission Guidelines for the tool under which the project is registered. Its Buildings rating-tool information says Buildings v1.1 Rev A was released on 17 December 2025, v1 registrations closed on 30 April 2026, and projects already registered under Buildings v1 can continue under that version. A project’s registration status therefore determines which instructions control; the newest public document is not automatically the correct one for an existing project.
Do not carry a historical threshold into a newer tool
Older FAQs and sample schedules remain useful for understanding the type of evidence an assessor expects, but they are version-scoped. They do not establish a current Buildings v1.1 paint limit. Where the v1.1 Submission Guidelines differ from a legacy FAQ, the registered tool’s current guidelines take precedence.
2. Build one traceable paint and coating register
Use one controlled register as the index for every paint, coating, adhesive and sealant included in the applicable credit. Give each distinct product and application its own row. The register should let an assessor move from the specification to the installed product, then to the evidence and calculation supporting the compliance decision.
Recommended Free Tools
Recommended register fields
| Field | What to record |
|---|---|
| Product identity | Manufacturer, product name, product code and the exact formulation supplied. |
| Application | Coating or product type, intended location, substrate and use. |
| Installation status | Whether it is site-applied or applied off site, and whether the application is inside the criterion’s scope. |
| Formulation details | Ready-to-use mixture, tint, components, mixing ratio and dilution, where relevant. |
| Quantity | Specified and installed quantities, units and the denominator required by the registered tool. |
| Criterion | Applicable category, benchmark, limit and pathway. |
| Result | Actual VOC or TVOC value, units, test or declaration basis and compliance status. |
| Evidence reference | Document title, revision or date, exact page and a stable project file reference. |
| Review record | Calculation notes, exceptions, reviewer, review date and any corrective action. |
An older GBCA Design & As Built sample schedule demonstrates the core traceability fields: product name, type, benchmark, TVOC limit, actual TVOC, datasheet page reference and a compliant status. It also allows additional rows or an attachment. Use that structure as a practical model, not as proof that the old template is mandatory for Buildings v1.1.
Separate products that look similar
Do not combine a base paint with a factory-tinted version, a two-pack coating with one of its components, or a primer with a topcoat merely because they share a brand family or colour. If the ready-to-use product, code, tint or mixing process changes, give it a separate row unless the applicable guideline expressly permits grouping.
3. Match evidence to the product actually installed
The strongest submission connects the register to procurement and site records. Obtain a current technical or product datasheet from the manufacturer or supplier that identifies the product and states its VOC or TVOC content in the units required by the criterion.

Check the formulation, not just the product family
- Confirm the product code and intended use match the specification.
- Check whether the reported value is for the final ready-to-use product or only an unmixed base.
- Record tinting, component mixing and dilution. Legacy GBCA guidance treats ready-to-use TVOC as including tints.
- Confirm that the evidence revision or issue date is current for the supplied product.
- Retain delivery dockets, purchase orders, batch information or contractor records that connect the documented product to what was installed.
A low-VOC claim on a marketing page is not, by itself, evidence that the exact installed formulation complies. The schedule should point to the specific supporting page and preserve the document in the project record.
Use installation sign-off when the pathway allows reduced documentation
For the Buildings v1 reduced-documentation pathway, GBCA FAQ F-00444 calls for head-contractor sign-off that the listed products were used and that emissions limits were reviewed. That pathway also states that less than 5% of products applied may be non-compliant, conditional on Credit Achievement already being met. Both conditions belong to that specific Buildings v1 route; they should not be copied into a different tool or pathway without confirmation.
4. Calculate the quantity using the registered tool’s method
Before calculating a compliance percentage, identify the denominator prescribed by the applicable Submission Guidelines. A plausible calculation using the wrong unit can fail even when the product evidence is sound.
Volume and area are not interchangeable
Legacy Design & As Built and Interiors FAQs F-00089 and F-00090 calculate paints, adhesives and sealants by volume, while carpets are calculated by area. Those FAQs require the 95% rate to be demonstrated separately for each category rather than by pooling all materials into one percentage. This is legacy-tool guidance, not a universal Buildings v1.1 rule.
| Material category in the legacy guidance | Denominator | Compliance treatment |
|---|---|---|
| Paints | Volume | Assess separately from other categories. |
| Adhesives | Volume | Assess separately from paints and sealants. |
| Sealants | Volume | Assess separately from paints and adhesives. |
| Carpets | Area | Use the carpet-area denominator, not a volume denominator. |
Where the registered tool uses a different denominator or scope, follow that instruction and show the calculation in the format requested by the tool.

- List every in-scope product and its specified and installed quantity.
- State the unit and denominator used, such as litres or another tool-defined volume basis.
- Identify the category and criterion applied to each row.
- Show compliant and non-compliant quantities separately.
- Calculate the category result without combining unrelated categories.
- Cross-reference every input to the register and the evidence page supporting its VOC or TVOC value.
5. Understand the limited theoretical-calculation route
Product evidence is the normal route. For Buildings v1 Minimum Expectation, FAQ F-00345 permits a theoretical calculation only in defined circumstances: a custom product, including a custom tint, or a product used on no more than 10% of internally applied areas.

What the Buildings v1 calculation must contain
For an eligible product, the FAQ says to follow APAS AP-D181 section 7.1. Base the calculation on the subtotal of known VOC values for the raw-material components, provide the resulting numerical TVOC in g/L, and state the subtotal basis. Attach the component information and show the arithmetic so an assessor can reproduce the result.
This exception does not turn an unknown product into a generally compliant one. If the product is neither custom nor within the 10% area allowance, obtain product-specific evidence instead. The 10% limit concerns internally applied areas under Buildings v1 Minimum Expectation and must not be generalized to other tools.
6. Check exclusions and occupied-area boundaries
Scope is as important as the VOC number. Buildings v1 Minimum Expectation FAQ F-00332 lists glazing film, tapes, plumbing pipe cements, car-park products, off-site-applied paints, adhesives and sealants, and temporary formwork adhesives or mastics as exclusions. FAQ F-00350 says the Buildings v1 Minimum Expectation applies only to regularly occupied areas.

- Keep excluded products in a separate section or mark them clearly as out of scope.
- State the reason for exclusion and cite the relevant tool instruction in the project record.
- Identify whether a coating was factory-applied or applied on site.
- Map each in-scope product to regularly occupied areas where that boundary applies.
- Do not assume the listed Buildings v1 exclusions or occupied-area boundary continue in v1.1; check the current v1.1 Submission Guidelines.
FAQ F-00332 also cautions that Credit Achievement testing follows the Submission Guidelines. A product excluded for one Buildings v1 Minimum Expectation calculation may still be relevant to another credit, pathway or tool.
7. Distinguish Minimum Expectation, Credit Achievement and innovation claims
Evidence requirements can change with the achievement target. Label the target in the register and prepare only the evidence route permitted for that target.
Minimum Expectation versus Credit Achievement
Minimum Expectation may have a defined product-documentation route and limited exceptions, such as the Buildings v1 theoretical calculation described above. Credit Achievement may require additional testing or evidence. Do not infer the Credit Achievement test from a Minimum Expectation schedule.

Historical ultra-low-VOC guidance
Legacy Ultra-Low VOC innovation guidance cites over 50% of specified paint by volume at a maximum 5 g/L. That figure is a historical, pathway-specific threshold, not a current general Green Star paint limit. Use it only if the registered tool and innovation pathway explicitly call for that guidance.
8. Assemble the submission package
Make the assessor’s review linear: requirement, product, quantity, evidence, calculation and sign-off should be findable without searching through unrelated files.
Recommended file structure
- Compliance summary identifying the tool, version, credit, pathway, scope and conclusion.
- Controlled paint and coating register with row numbers.
- Quantity worksheets showing the prescribed denominator and category calculations.
- Manufacturer or supplier datasheets, indexed to register rows and exact pages.
- Specification, procurement and delivery records connecting documented products to installed products.
- Custom-product calculation and component evidence, where an allowed theoretical route is used.
- Head-contractor sign-off where the selected Buildings v1 reduced-documentation pathway requires it.
- Exclusion and exception log.
Use cross-credit references carefully
For older tools covered by GBCA FAQ F-00026, teams may reference a document across credits when they identify the exact page supporting the claim. FAQ F-00006 says alternate documentation can be used for the older tools listed there when it adequately supports the claims in the Submission Templates. Those statements are not blanket permission to ignore a current tool’s mandatory format. Check the registered tool before substituting documents or relying on a cross-credit reference.
9. Quality-control checks before submission
- The rating tool, version, revision, credit and pathway are recorded on the cover page and register.
- Every distinct product and application has a row, including primers, topcoats, specialty coatings and separately mixed systems where applicable.
- Product codes and formulations match the material actually supplied and installed.
- Tints, components, mixing and dilution are addressed in the ready-to-use value.
- Each VOC or TVOC value has units, an evidence document and an exact page reference.
- The denominator and category treatment follow the registered tool rather than a familiar historical example.
- Calculations distinguish in-scope products, exclusions and non-compliant quantities.
- Any theoretical calculation meets the tool’s eligibility conditions and shows its basis.
- Legacy thresholds such as 95%, 10%, 5 g/L or less than 5% non-compliant are labelled with their tool and pathway rather than presented as universal rules.
- Sign-offs, evidence revisions and review dates are complete.
10. Common documentation failures and fixes
Using a generic product-family datasheet
Failure: The file names a paint range but not the supplied code, tint or ready-to-use mixture.
Fix: Obtain product-specific evidence and connect it to procurement or contractor records. If the formulation changed, create a separate register row and reassess it.
Applying a 95% calculation to a current tool without checking scope
Failure: A team imports the legacy 95% category rule into Buildings v1.1.

- Works with Latex Paint, Oil-Based Paint & Stains – Premium synthetic filaments hold more paint, reduce streaks, and provide a clean finish with latex paints, oil coatings, and wood stains.
Fix: Treat the 95% figure as applicable only to the listed legacy Design & As Built and Interiors guidance unless the registered tool says otherwise.
Using cost as the denominator
Failure: Paint quantities are converted into a cost percentage because invoices are easy to obtain.
Fix: Use the unit required by the registered tool. The cited legacy FAQs use volume for paints, adhesives and sealants and area for carpets.
Counting excluded products without recording the decision
Failure: Off-site coatings or car-park products disappear from the schedule with no explanation.
Fix: Keep an exclusion log stating the product, application location, reason and version-specific rule. Recheck the scope for v1.1.
Replacing evidence with a consumer air reading
Failure: A room-air VOC meter is offered as proof of product-content compliance.
Fix: Use product-content evidence and any credit-specific testing required by the Submission Guidelines. The cited requirements do not establish a consumer air meter as a substitute.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches11. A practical decision sequence
- Identify the registered tool and revision, then confirm the target pathway.
- Copy the applicable scope, denominator, thresholds and evidence rules into the project checklist.
- Inventory every paint, coating, adhesive and sealant and split distinct formulations into separate rows.
- Mark site-applied, off-site-applied, regularly occupied and excluded applications according to the governing tool.
- Request current product evidence and verify the final ready-to-use formulation, including tint and mixing.
- Record specified and installed quantities using the required volume or area basis.
- Apply any permitted exception, such as the Buildings v1 10% theoretical-calculation route, only after checking eligibility.
- Calculate compliance by the required category and attach page-level evidence.
- Obtain required contractor or reviewer sign-off.
- Run the quality-control checklist and submit the indexed package under the project’s registered tool.
The result should be a short compliance summary backed by a complete, row-level evidence trail. That approach remains useful across tools, while the actual limits, exclusions and acceptable evidence must always come from the Submission Guidelines for the project’s registered rating tool.
