Make a straightforward indoor painted wood sign with a clean board, a printed design, a pencil-transfer or stencil, acrylic paint and small brushes. For an outdoor sign, the painting is only part of the job: surface preparation, exposure-rated materials, compatible sealer and complete drying determine whether the finish holds up.

This method avoids a cutting machine. You print or sketch the lettering, transfer it to the board, paint over the guide lines, refine the edges and choose a protective finish that matches the sign’s location.
Decide where the sign will hang before buying supplies
An indoor sign can prioritize color, texture and ease of touch-up. A sign on a porch, fence or garden wall must also cope with moisture, sunlight and temperature changes. The same acrylic paint and clear coat should not be assumed to work for every wood species, climate or exposure. Decide the location first, then select products whose labels cover that use.

Measure the wall or mounting area and choose a board that leaves a comfortable margin around the message. Resize the artwork to the board’s actual dimensions before printing. Corel Discovery Center’s tutorial recommends sizing the design for the wood and printing it; McCoy’s Building Supply recommends sketching and measuring so lettering lands where intended.
Supplies for a hand-painted sign
A basic indoor project needs:
- An unfinished wood board or sign blank
- A printed design, or a pencil sketch
- A graphite pencil and a clean eraser
- Acrylic paint
- A small round or liner brush for outlines and detail, plus a broader brush for filling
- Masking or painter’s tape
For a stained or outdoor version, add sandpaper, optional wood stain, a protective finish labeled for the intended exposure, and safety gear. McCoy’s supply list includes a board, stain, paint, painter’s tape, sealer, stencils, a foam brush, goggles, gloves and a dust mask. Michaels’ class list adds stencil film, acrylic paint and synthetic brushes. A purchased stencil is optional; the pencil-transfer method needs only a printed page, pencil and tape.
Choose a lettering method
| Method | What you do | Best fit | Trade-off |
|---|---|---|---|
| Pencil transfer | Graphite the back of a printed design, tape it to the board, then trace the lines. | Beginners who want accurate lettering without a cutting machine. | Requires a printed design and leaves guide marks to paint and erase. |
| Freehand | Sketch the layout directly on the board and paint the letters. | Confident letterers or organic, hand-drawn styles. | Spacing and consistent letter height are harder to correct. |
| Stencil | Position a purchased stencil or stencil film and dab paint through the openings. | Repeatable lettering and simple motifs. | Needs stencil setup and controlled paint so edges do not bleed. |
All three can work. Pick the method that gives you the most control over the message and scale rather than choosing a tool because it looks more professional.

Prepare and smooth the wood
Remove splinters, rough edges and loose fibers before transferring any design. Sand with the grain, then wipe away dust so it cannot become a bump under paint or finish. Sanding creates airborne dust, so McCoy’s recommends doing that work outdoors while wearing goggles and a mask. Follow the safety directions on the particular stain, paint and spray you use.

Rust-Oleum’s cedar-plank project uses a specific sequence of #120, #150 and #180 grit paper, removing dust between grits with a tack cloth. That sequence belongs to that cedar project; it is not a universal rule for every board. Softer or already smooth blanks may need less aggressive preparation, while rough construction lumber may need more. Stop when the surface feels even and the edges are safe to handle.
Transfer a printed design with pencil
- Prepare the artwork. Print the lettering at the size you measured. Check spelling, orientation and margins before touching the board.
- Graphite the reverse. Turn the page over and rub a pencil firmly over the back of every letter and shape. Cover the areas that contain lines; a light, patchy coating will transfer unevenly.
- Tape the page in position. Place the graphite side against the wood. Align the design with your measured margins and tape the top and sides so the paper cannot shift.
- Trace the front. Use a ballpoint pen or a sharp pencil to follow each line while pressing firmly enough to move graphite to the board. Trace once, methodically; lifting the paper to check can cause it to move.
- Remove the page carefully. Peel the tape and paper back. You should see a faint outline ready for paint. If a section is missing, reposition the page using the original tape edge and retrace only that area.
This transfer approach is described in the Corel Discovery Center tutorial and is useful when you have no cutting machine. Keep the marks light enough to erase later, but visible enough to guide a small brush.
Use a stencil without creating fuzzy edges
Place the stencil on a clean, dry board and secure it with painter’s tape. Check that every letter is level and that the stencil has full contact with the surface, especially around narrow openings. A stencil can be purchased or cut from stencil film, as listed in Michaels’ class materials.

Paint the lettering and refine the design
- Outline first when useful. Corel’s process suggests using a small or liner brush to outline a transferred shape before filling it. This creates a boundary that helps keep the fill inside the letter.
- Fill with controlled strokes. Use a brush sized for the letter’s width. Work from the outline inward and avoid flooding corners. For stenciled areas, continue with light dabbing rather than loaded strokes.
- Build coverage in thin coats. A second coat can even out color and cover remaining pencil marks. Let each coat dry according to the paint maker’s directions; drying varies by paint, humidity and film thickness.
- Correct edges after drying. Use the background color to sharpen a letter edge, or gently erase exposed pencil once the paint is fully dry. Erasing too soon can smear the paint or tear the surface.
- Add details last. Small dots, borders and highlights are easier to place after the main lettering has dried. Keep a scrap of the same wood nearby to test color and brush loading.
Painted bare wood shows grain through thin layers, while a solid background gives lettering stronger contrast. Neither is automatically better; choose based on the look and readability you want from the viewing distance.
Decide between painted bare wood and a stained background
Painted bare wood
Leave the prepared board un stained and paint the lettering directly onto it, or paint a solid background first. This is the simplest indoor route and makes later touch-ups straightforward. Allow the background to dry before transferring a design so graphite and tape do not mark a tacky surface.
Stained wood with painted lettering
Stain is optional. If you choose it, apply it after sanding and dust removal, then wait the time on the stain label before transferring or painting. In the Rust-Oleum cedar example, the project specifies one hour of drying after staining; that is a project instruction, not a universal drying promise. McCoy’s also includes stain as an option in its outdoor sign process.
Test the stain, paint and clear finish on a scrap from the same board. Wood species absorb stain differently, and a clear coat can change the apparent color or sheen.

Protect the finished sign for its location
Indoor display
An indoor decorative sign may be left uncoated if it will stay dry and receive little handling. A topcoat can add washability or a different sheen, but check that it is compatible with the fully cured paint. Test the combination on scrap when the label does not clearly address your paint.
Outdoor display
Use paint and a protective product labeled for the exposure you expect. Do not call all acrylic craft paint weatherproof, and do not assume any clear coat will adhere cleanly to any paint. McCoy’s recommends sealing its outdoor sign and performing the spray-sealing step outside. Ventilate as the label requires, keep the spray area clear, and allow the finish to dry completely before handling.
Rust-Oleum’s stained cedar project demonstrates polyurethane applied in three coats, with two-hour intervals between coats and 48 hours of drying after the final coating. Those coat counts and times apply to that project’s materials and conditions, not to every polyurethane, paint or climate. Follow the label on your chosen finish instead.
| Situation | Finish approach shown in the cited project | What to verify |
|---|---|---|
| Indoor decorative sign | Topcoat is optional based on use and finish compatibility. | Whether the clear product is compatible with the cured paint and desired sheen. |
| Outdoor sign using McCoy’s process | Apply a spray sealer outdoors. | Exposure rating, ventilation, recoat and cure directions on the sealer label. |
| Stained cedar project from Rust-Oleum | Three polyurethane coats, two hours between coats, then 48 hours of drying after coating. | That the same product, wood and conditions apply; otherwise use your product’s instructions. |
Attach hardware and hang the sign safely
Wait until paint and finish are fully dry and no longer tacky. Choose hardware rated for the sign’s weight and the wall type. A small indoor board may use a sawtooth hanger or picture hardware; a heavier or outdoor sign needs fasteners suited to the wall or framing and, where relevant, corrosion resistance. Keep fasteners away from the painted face, predrill near edges to reduce splitting, and confirm the sign sits level before tightening.

Troubleshoot common problems
Graphite lines are too faint
Press more firmly while tracing, or darken the reverse of the print before trying again. Secure the page so it cannot move and avoid repeatedly lifting it to check.
Paint bleeds under a stencil
Reduce the amount of paint on the brush, dab vertically, press the stencil flat and remove it straight up. A textured foam-brush application, as described by McCoy’s, uses less paint than a saturated stroke.
The color looks streaky
Let the first coat dry, then apply another thin coat rather than scrubbing wet paint. Brush size, pigment and humidity all affect coverage.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Pencil marks remain after painting
Build enough paint coverage to hide them, then erase only after the paint is dry. If marks show through a light color, test the eraser and paint sequence on scrap before touching the finished sign.
The clear finish turns cloudy or peels
Stop adding coats. Check whether the paint had cured, whether the clear product is compatible and whether the surface was dusty or damp. Sanding and recoating may be possible only when the finish label allows it; otherwise remove the incompatible layer and retest on scrap.
Safety and care
- Sand outdoors when possible and wear goggles and a dust mask, following McCoy’s guidance.
- Use gloves and ventilation required by stain, paint and sealer labels.
- Spray sealers outdoors or in the location specified by the label.
- Keep the board supported while sanding, painting and drying.
- Do not hang an outdoor sign until the finish has reached the label’s full cure time.
For a manageable first project, choose an indoor board, transfer a printed design, outline and fill with acrylic paint, erase the guide marks after drying, and add a compatible topcoat only if the sign’s use calls for it. Move to stain, stencils and exterior finishes when the location and design justify their extra preparation.
