Efficient door specification is a coordination exercise, not a hunt for a universally “best” door. Define what each opening must do, record measurable requirements in the door schedule, coordinate the leaf, frame, glazing, hardware, seals and installation as one assembly, and require evidence that the proposed configuration meets the project brief and adopted code. The correct dimensions, ratings, acoustic targets, security level and hardware remain project-specific until the building use, drawings, jurisdiction and code analysis are known.

What an efficient door specification achieves

A door is an opening-protection, access, circulation and maintenance system. A schedule that names only a leaf material or a nominal size leaves critical decisions to procurement or the installer, where changes can invalidate a fire listing, reduce acoustic separation, conflict with access control or make the opening difficult to use.

An efficient specification establishes decisions early enough for the architect, engineer, contractor, hardware consultant, access-control specialist and facility team to coordinate them. It also distinguishes between a requirement and the evidence needed to demonstrate it. For example, “fire door” is not sufficient: the project must identify the required opening-protective rating, wall condition, glazing, hardware, seals, frame and installation method, then verify that the complete combination is approved for its intended use.

  • Performance first: describe the opening’s job before selecting a product.
  • Assembly thinking: treat leaf, frame, glazing, hardware, seals, threshold and interfaces as interdependent.
  • Evidence at submittal: require listings, certificates, test reports or other project-appropriate documentation for the actual configuration.
  • Buildable information: show clearances, interfaces, tolerances, adjustment and maintenance responsibilities, not just a product name.
  • Jurisdictional discipline: apply the code editions and standards adopted for the project; examples from the United States, United Kingdom and Germany are not universal rules.

1. Start with the opening and its context

Assign every opening an identifier and a short functional description before writing a hardware or finish note. The same nominal door size can have entirely different requirements at a plant-room entrance, a patient room, a stair enclosure, a public toilet or an exterior vestibule.

Record the building and location

  • Building use, occupancy and the department or room served.
  • Floor, elevation, wall line and whether the opening is in a compartment, exit route, smoke barrier or security boundary.
  • Surrounding wall construction and its fire-resistance, acoustic and structural characteristics.
  • Interior or exterior exposure, including rain, wind, sunlight, temperature, humidity, wash-down, chemicals or corrosive atmosphere.
  • Whether the opening is new, altered or a replacement in an existing frame.

Describe movement and operations

  • Single, paired, sliding, folding, pivoting or another door type.
  • Direction of travel, approach from each side, traffic frequency and whether carts, beds, equipment or pallets pass through.
  • Manual, assisted or automatic operation; hold-open, delayed-action or fail-safe functions where relevant.
  • Normal users, visitors, staff, deliveries and emergency responders.
  • Whether the door must remain locked, controlled, latched, smoke-tight or open during a defined operation.

These facts determine which later questions matter. Do not assign a fire, acoustic or security rating merely because a nearby opening has one.

2. Convert the brief into performance criteria

Review the opening with the design team and the code consultant, then state only the criteria that apply. A useful schedule identifies the requirement, its governing document or design decision, and the evidence expected at submittal.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Geometry: nominal leaf size, frame dimensions, clear opening, swing, maneuvering space, headroom, threshold and adjacent obstructions.
  • Life safety: fire and smoke protection, egress function, self-closing or latching behavior, hold-open release and any inspection obligations.
  • Accessibility: clear width, approach clearances, threshold, hardware reach and operation, opening force, closer adjustment and emergency or power-failure behavior.
  • Acoustics: the project’s target for the complete opening, with attention to perimeter, drop-down and threshold seals and the surrounding construction.
  • Security: resistance level, lock and cylinder strategy, access-control interface, monitoring, forced-entry objectives and emergency egress.
  • Durability: traffic class, impact exposure, moisture, cleaning regime, corrosion, finish, replaceable parts and expected maintenance.
  • Environmental and appearance: thermal or weather performance, vision panels, color, sheen, grain, edge treatment and coordination with adjacent work.
  • Documentation: drawings, schedules, product data, certification or listing, test scope, installation instructions, samples, commissioning records and maintenance information.

Where a criterion is not required, omit it rather than inserting a generic value. Where it is required but not yet resolved, flag the design decision for the responsible discipline; do not let a supplier select it by default.

3. Specify the complete door assembly

Write the specification so that no essential component is detached from the performance claim. At minimum, coordinate the following elements for each relevant opening:

  • Installation: substrate tolerances, anchors, packers, fire stopping, sealant, adjustment, protection, testing and cleaning.

State which party supplies each item and who is responsible for coordination. A hardware set that is acceptable on an ordinary interior door may not be permitted on a listed fire door, an acoustic opening or a controlled egress door.

4. Make the door schedule a decision record

Use one line per opening or opening group, with notes that refer to a coordinated hardware set and detail. The schedule should identify:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Opening mark, level, room names and wall or partition type.
  • Door type, handing, swing, number of leaves, nominal dimensions and required clear opening.
  • Frame type, material, profile, finish and interface with the wall.
  • Glazing and vision-panel requirements, including any safety, fire or smoke limitations.
  • Fire, smoke, acoustic, security, weather and durability criteria that actually apply.
  • Hardware set reference, closer or operator, lock function, exit device, access control, hinges and seals.
  • Threshold, floor transition, kick plates, protection plates and other accessories.
  • Finish, color, face material, edge treatment and exposed-side appearance.
  • Submittal evidence, listing or certificate scope, installation instructions, inspection point and maintenance responsibility.
  • Design status and unresolved approvals, so a procurement release cannot conceal an open code or coordination decision.

Link the schedule to enlarged plans, elevations, wall types, hardware sets and details. If an opening has a special condition—such as a smoke seal at a stair, a drop-down acoustic seal at a meeting room or a monitored egress lock—call it out in the schedule and the detail rather than relying on a general note.

5. Fire- and smoke-resisting openings: verify the actual assembly

First determine whether the wall or location is subject to an opening-protective requirement under the locally adopted code. The required door rating is not automatically the same as the wall’s fire-resistance rating; fire-door assembly ratings are typically nominally less than the corresponding wall rating, and the applicable code and standards establish the relationship.

UL guidance identifies UL 10A, UL 10B and UL 10C as certification standards used for fire-door assemblies and directs designers to the applicable code and NFPA 80 installation requirements. Confirm the editions and provisions adopted in the project jurisdiction rather than copying a rating from a generic chart.

Check listing scope, not just component names

A fire door may arrive as a complete assembly or be assembled on site from a door, frame, glazing, hardware and accessories. That flexibility does not mean any individually acceptable parts can be combined freely. Require the certificate, listing or test evidence for the proposed door, frame, glazing, hardware, seals and configuration, including size limits, wall condition, mounting, temperature or smoke conditions and permitted substitutions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

UL Solutions describes its mark this way: “The UL Mark on a product means UL Solutions has tested and/or evaluated representative samples of that product and determined that they meet the requirements in the applicable standard(s).” The mark is evidence of evaluation against stated requirements; review its scope and follow the listing’s installation limitations for the actual intended use.

Coordinate installation and inspection

  1. Identify the wall rating, opening location and required protection from the code analysis.
  2. Select a door-and-frame assembly whose listing or approved evidence covers the intended dimensions, glazing and hardware.
  3. Submit the complete hardware and seal schedule with the listing, not as a later substitution.
  4. Install in accordance with the listing, NFPA 80 where adopted, and the manufacturer’s instructions, including anchors, clearances, fire stopping and seals.
  5. Inspect the installed opening for labeling, gaps, self-closing, latching, glazing, hardware, damage and unauthorized field modifications.
  6. Record adjustments and maintenance instructions for the owner; a compliant installation can become noncompliant when hardware or seals are changed without checking the evidence.

6. Accessibility and door operation: use the governing standard

Accessibility requirements vary by jurisdiction. The following figures are a United States example from the ADA Standards and the U.S. Access Board guide; they are not a universal specification for exterior doors, fire doors or projects governed by another law.

Operational item US ADA example How to apply it
Opening force 5 pounds (22.2 N) maximum for interior hinged doors and for sliding or folding doors within the stated provision The stated limit excludes fire doors and does not establish a limit for exterior hinged doors; confirm the applicable authority and exceptions.
Clear width 32 inches minimum in the Access Board Chapter 4 guide Verify the detailed standard, measurement method, door position and any applicable exceptions for the project.
Hardware height and operation The guide summarizes hardware at 34 to 48 inches above the floor and operation without tight grasping, pinching or twisting Use loose-grip or closed-fist operation and verify the detailed standard for the opening and hardware type.
Closer timing At least 5 seconds from 90 degrees open to 12 degrees from the latch Adjust and test the installed closer; do not infer timing from a catalog setting.
Spring hinges At least 1.5 seconds from 70 degrees open to closed Measure the installed spring-hinge action under the standard’s stated conditions.

The ADA opening-force provision also says its limits do not apply to retracting latch bolts or to disengaging other devices that hold a door closed. That exception does not remove the need to make the door usable, safe and code-compliant. Coordinate maneuvering clearances on the floor plan, the leaf position, threshold height, closer behavior, latch release, power-failure operation and emergency egress with the hardware and life-safety teams.

7. Acoustic and security performance depends on interfaces

Acoustics

Specify an acoustic target for the complete opening and identify how it will be demonstrated. The leaf alone cannot deliver the result if sound bypasses the frame, threshold, perimeter or adjacent wall. A UK Government Property Agency example calls for full-height acoustic doors with drop-down and perimeter acoustic seals, illustrating why seals and installation belong in the same requirement as the door.

Coordinate the acoustic door with the wall, glazing, frame, threshold, ironmongery and any air-transfer or access-control device. Require evidence that corresponds to the complete assembly and the laboratory or field method used; do not convert a component claim into a room-wide performance promise.

Security

Define the threat, user groups, credential system, monitoring and emergency release before selecting a lock or cylinder. The Government Property Agency example treats security ratings separately from acoustic criteria and requires evidence for applicable fire-rated doors covering door and frame materials, glass and installation, ironmongery, hinges and seals. Use that as a coordination model, not as a universal numeric security threshold.

8. Apply standards by jurisdiction and edition

Codes and standards differ by location, building use and edition. Confirm the documents adopted by the authority having jurisdiction and any client or insurer requirements.

Reference What it contributes Important limitation
US Access Board ADA Standards and Chapter 4 guide Accessibility provisions such as clear width, hardware operation, opening force and closing times US example; detailed provisions and exceptions govern, and other jurisdictions use different rules.

DIN-Taschenbuch 471, third edition, September 2024 A 414-page German/European compendium covering six standards, a corrigendum and one DIN SPEC for external and internal doors, door systems, fire and smoke characteristics and terminology It is a reference collection, not a substitute for applicable national rules or project-specific application documents. Print ISBN: 978-3-410-38020-7; eBook ISBN: 978-3-410-38021-4.

DIN Media distinguishes product standards, which cover performance characteristics, from application documents that support selecting requirements, features and application criteria. That distinction is useful in any jurisdiction: a product document does not replace the project’s code analysis or design brief.

  1. Pre-submittal coordination: issue the opening list, wall types, hardware sets, access-control requirements, rating strategy and unresolved questions to all affected disciplines.
  2. Submittal completeness check: require shop drawings, product data, samples, hardware schedules, seal details, glazing information, listings or certificates, test scope and installation instructions.
  3. Configuration review: compare every proposed leaf, frame, glazing preparation, hinge, closer, lock, exit device, seal and threshold with the approved evidence and schedule.
  4. Site readiness: verify substrate dimensions, plumb and level conditions, anchors, backing, finished-floor elevations, power and data routes, and protection from damage.
  5. Installation inspection: check labels, gaps, alignment, swing, clear width, maneuvering space, thresholds, seals, latching, closing speed, access-control release and fire stopping.
  6. Functional testing: test normal operation, accessibility-related force and timing where applicable, emergency release, power failure, smoke or hold-open functions and security interfaces.
  7. Handover: provide as-installed schedules, certificates, inspection records, adjustment settings, spare parts, cleaning instructions and a maintenance plan.

Assign each review and test to a named party. A schedule that says “contractor to coordinate” without defining the evidence and acceptance point is not a complete control.

10. Compare door options against the opening’s job

When several door types or assemblies are possible, compare them on the same axes. Do not declare one option best without a defined brief.

Comparison axis Questions to answer
Type and movement Does the swing, sliding, folding or pivoting action suit traffic, egress and the available maneuvering space?
Clear opening Does the installed leaf, frame, hardware and stop arrangement preserve the required clear width and approach?
Fire and smoke Is the required rating established, and does the evidence cover the complete door, frame, glazing, hardware and seals?
Accessibility Can users operate the hardware and closer within the governing limits, including thresholds and power-failure conditions?
Acoustics Are leaf, frame, perimeter and drop-down seals, threshold and installation included in the performance evidence?
Security and access control Does the lock, exit device, monitoring and emergency release meet the threat and life-safety brief?
Material and durability Will the finish and construction tolerate traffic, impact, cleaning, moisture, chemicals and expected maintenance?
Installation Can the frame, anchors, seals, fire stopping, power and floor interface be installed in the available sequence and tolerances?
Inspection and maintenance Can the owner inspect, adjust, repair and replace components without losing the approved configuration?
Documentary evidence Are current drawings, listings, certificates, test reports and instructions available for the exact proposal?

11. Common specification failures and corrections

  • Choosing a rating from a generic door chart: start with the wall and location requirements, then select evidence for the complete assembly.
  • Listing a fire-rated leaf with an unrelated frame or hardware set: obtain evidence that covers the combination, including glazing and seals.
  • Writing “accessible hardware” without operational criteria: state clear width, maneuvering space, reach, force, closer timing, threshold and emergency behavior under the governing standard.
  • Using an acoustic door without perimeter or drop-down seals: coordinate every leakage path and the surrounding wall, then require assembly-level evidence.
  • Allowing late hardware substitutions: review substitutions against the approved listing, access-control sequence, egress function, clearances and maintenance plan before approval.
  • Ignoring floor finishes: coordinate threshold height, bevels, transitions and drainage before the frame is fixed.
  • Leaving installation to a general note: identify anchors, tolerances, fire stopping, sealant, adjustment, testing and responsible parties.
  • Over-specifying every opening: apply only the performance features justified by the opening’s use and code analysis; unnecessary requirements add coordination risk without improving the result.
  • Failing to preserve evidence after handover: archive the as-installed configuration and maintenance instructions so future repairs do not introduce unapproved parts.

12. A practical release checklist

Before releasing a door package for pricing or fabrication, confirm that each opening can answer these questions:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • What room, route, wall and jurisdiction does this opening serve?
  • What movement, traffic, exposure and operational sequence must it support?
  • What clear opening, maneuvering space, threshold and hardware operation are required?
  • Does the opening need fire, smoke, acoustic, security, weather or durability performance?
  • Are leaf, frame, glazing, hinges, closer, lock, exit hardware, access control, seals and threshold coordinated?
  • Does the evidence cover the actual assembly, dimensions, glazing, hardware, seals and installation method?
  • Are the adopted code editions, standards, listing limitations and authority approvals identified?
  • Who reviews the submittal, inspects installation, performs functional tests and maintains the opening?
  • Are unresolved decisions visibly assigned rather than silently delegated to a supplier?

If any answer is missing, the opening is not ready for an efficient procurement decision. Resolve the requirement, document the evidence and update the coordinated schedule before fabrication.
