What should you bring to a quilt retreat? Pack your sewing machine with its essential parts, the tools and materials your chosen projects require, and personal items for the length of your stay. Before you pack shared equipment or bedding, check the retreat organizer’s current instructions: what a venue supplies can vary.
What should I bring to a quilt retreat?
Use this checklist as a starting point, then tailor it to your projects and the venue. The machine setup is easy to overlook, so pack its components together; for everything else, bring what your projects need and confirm which shared tools are available.
Sewing machine and sewing station
- Sewing machine, foot pedal, and power cord. Check that all three are together before leaving.
- Machine manual or a photo of its threading and setup instructions, particularly if you are using an unfamiliar machine.
- Presser feet suited to your projects, fresh needles, bobbins, a lint brush, and a small screwdriver. Bring machine oil only if your machine uses it.
- Extension cord or power strip if the outlet setup calls for one and the retreat permits it.
- Task light if the work area will not be adequately lit. The Champlain Valley Quilt Guild’s 2026 retreat page says its event needs additional table and machine lighting: check the organizer’s event instructions.
- A chair cushion if it helps you sew comfortably for long stretches.
Project supplies and tools
- Pattern or project instructions, selected fabric, matching thread, and any project-specific supplies, such as batting, interfacing, buttons, or zippers.
- Small scissors, seam ripper, pins or clips, and marking tools as needed.
- Rotary cutter, spare blade, cutting mat, rulers, and templates only if your project calls for them or the venue does not supply them.
- Hand-sewing needles and a compact handwork project for breaks or a change of pace.
- A personal iron or pressing mat only if useful and allowed; check first whether shared pressing stations are available.
Preparing or cutting fabric at home can reduce the tools and setup you need to bring. A second project is also useful if you finish early or want a change from machine sewing.

Personal and overnight items
- Comfortable clothes, sleepwear, shoes or slippers, toiletries, medications, and glasses.
- Phone, charging cable, and any other chargers you need.
- Water bottle and snacks if appropriate for the retreat’s food rules.
- Bedding and towels only if the host asks you to bring them. Confirm pillow and room arrangements too.
What should I check with the retreat organizer?
Retreat arrangements differ, so use the host’s current packing list rather than assuming another venue’s setup applies. Before packing bulky equipment or overnight items, ask:

- Is a sewing machine required, or is one provided?
- Are cutting mats, rotary cutters, rulers, irons, and ironing boards available? Sewing Sisters Quilting Retreat lists these as supplied for its event; that does not establish what another retreat provides. Check its retreat information.
- Should attendees bring task lighting, extension cords, or power strips? Are there rules about using them?
- What bedding and towels are supplied? Should guests bring a pillow?
- Are meals included? How should guests handle food allergies, snacks, and refrigerator space?
- Are there class-specific supplies, room-sharing details, or other venue rules?
Overnight provisions can be very specific to an event. One guild says its venue supplies sheets, a quilt, and towels but asks guests to bring their own pillow. Houston Modern Quilt Guild also notes, “There is a single refrigerator to accommodate all retreat participants so please pack cold items considerately.” Treat both as examples for those events, not general retreat rules. How should I pack a sewing machine for travel?
Protect the machine in a padded sewing-machine case or a suitable box, as All People Quilt recommends. Choose a container that fits your machine and your way of traveling; there is no single case established as right for every quilter. Read All People Quilt’s retreat packing guidance.

Keep the pedal, cord, and small machine accessories together so they do not get separated from the machine. Pack project pieces and notions by project where practical, and keep cords tidy at the retreat.

A quick packing check before you leave
- Match your machine, pedal, cord, manual or setup reference, feet, needles, and bobbins.
- Check each project’s instructions and pack its fabric, thread, notions, and required tools.
- Confirm what the venue supplies before adding shared cutting or pressing equipment, lighting, or cords.
