A sewing machine maintenance tracker works best when it records the schedule for your exact model—not a generic daily, monthly, or annual routine. Start with the machine’s manual, transfer its cleaning, oiling, needle-replacement, and service instructions into a log, then record when each task is done and what is due next.
Set up a profile for each machine
Keep the identifying details with the log so you can check the right instructions and understand the machine’s service history later.

Some Brother embroidery machines show both total and trip stitch counts; the trip count represents stitches since the last maintenance. Check the instructions for your model to see whether it has these counters and how to view them: Brother’s stitch-count instructions.
What to record for every maintenance task
Use one log entry per task. A spreadsheet, notebook, or printable table can all work if the record is complete enough to guide the next check.
- Date completed and the task performed.
- Usage basis: Hours, projects, bobbins, stitches, or another measure specified by the manual.
- Conditions: Fabric or thread type, heavy use, prolonged high-speed operation, or other relevant circumstances.
- Observations: Lint buildup, unusual noise, a change in movement, or other symptoms.
- Work and materials: What you cleaned, adjusted, or replaced; note oil or parts only when the manual calls for them.
- Next due: The next date, usage threshold, counter value, or machine reminder.

Build the schedule from the manual
Group tasks by when they are triggered, but fill in each interval from the manual for the exact machine. Depending on the model, the trigger may be use, elapsed time, bobbins, stitch count, a built-in reminder, or a symptom. A task that applies to one model should not automatically become a rule for another.
After a project or use
Record cleaning and inspection that the manual assigns to the end of use or a project. Keep the task distinct from deeper service: removing accessible lint does not replace diagnosis or internal maintenance.
Usage-based tasks
Enter the manual’s trigger in a form you can monitor—for example, after a stated number of bobbins or embroidery hours. If you track projects instead, record enough detail to know when the manual’s actual threshold has been reached.

Professional service
Use the service interval, counter, or reminder specified for the model and the machine’s real usage conditions. Keep the provider’s findings in the same log so the next visit starts with a useful history.
Why there is no universal oiling calendar
Oiling instructions vary by machine. One Brother XL-5500 support page, dated July 29, 2026, says light-to-moderate use of 2–3 hours per day should follow that model’s manual oil points monthly, with thread or dirt removed and excess oil wiped away. For heavy or regular use—more than 3 hours daily or prolonged high-speed sewing—it advises arranging scheduled maintenance at a Brother Authorized Service Center. It directs light or moderate users to service at 500 hours and heavy, consistent, or prolonged high-speed users at 300 hours. It also says to stop and contact authorized service if the handwheel is difficult to turn or the machine makes unusual noise. Singer’s FAQ likewise says that a machine whose manual does not include oiling instructions is factory pre-lubricated and does not need additional lubrication. If the manual does call for oiling, Singer suggests weekly oiling for daily use, monthly for weekly use, and every three months for monthly use; it also recommends a qualified-technician tune-up every 3–4 years. bernette b59: bobbins, cleaning, and service
The bernette b59 manual says maintenance frequency depends on use, fabric, stitch count, and thread, and suggests maintenance after every 3–4 bobbins. Its listed tasks include surface cleaning and inspection, bobbin-case cleaning and oiling, and cleaning the needle threader and thread clamp. For frequent use, it gives needle-bar oiling examples of every six months, after longer downtime, or when unusual noise is heard. It recommends dealer service for internal components annually with intensive use or every two years with normal use. Apply these intervals only to the b59 and verify the manual for your machine: bernette b59 maintenance intervals.
Brother PR embroidery series: hook oil and needle life
For the Brother PR embroidery series, Brother says to place oil on the hook daily and replace needles after around 6–8 hours of embroidery, more often with heavy fabrics or metallic thread. These are embroidery-series instructions, not defaults for household sewing machines. Keep cleaning and service safe
Before doing maintenance, consult the exact model manual and follow its power-down or unplugging directions. Clean only the areas and components the manual says owners should clean; do not open covers or add oil based on generic advice. Where oiling is specified, use sewing-machine oil as directed and avoid excess—Brother warns that too much oil can soil work and advises wiping it off on applicable models.
If the handwheel becomes difficult to turn or the machine makes unusual noise, stop sewing and follow the model’s service guidance. A tracker helps you recognize and communicate a problem; routine cleaning is not a repair or a substitute for internal service by an authorized center or qualified technician.
A practical tracker template
Copy this structure into a spreadsheet or notebook, adding or removing rows to match the manual:

For example, a PR-series owner could log daily hook oiling and needle use against embroidery hours, while a b59 owner could track bobbin counts and its manual’s listed cleaning tasks. Those entries belong only to the named machine families; a different model’s manual determines its own schedule.
