You can create and sell a digital planner without printing or shipping each order, but the business is not guaranteed passive income. The repeatable part is file delivery; the ongoing work is designing an original product, testing its links and compatibility, attracting buyers, handling support, maintaining updates, and paying platform fees.
The most reliable beginner path is to choose one audience and planning problem, build a focused PDF or Canva product, test the customer workflow, package it clearly, and launch on a platform whose traffic and fee structure fit your business.
What a digital planner is—and what passive income really means
A digital planner is a downloadable planning product, usually a PDF, that customers use on a tablet, computer, or phone instead of buying a printed book. It may be a simple fillable PDF, a hyperlinked planner for a note-taking app, a Canva template, or a bundle containing several versions and bonus pages.

The attractive part of the business model is repeatable delivery: after the product is made, another customer can receive a copy without printing, packing, or shipping another physical item. That does not make the income effortless or guaranteed. You still need to design something original and useful, validate that it works, write an accurate listing, attract visitors, answer support questions, maintain download files, and account for fees. A more honest description is potentially repeatable digital-product revenue.
The practical goal is not to upload a generic planner and hope for automatic income. It is to create one specific solution, test the customer experience, and build a small catalog that can continue selling with manageable maintenance.
1. Choose one buyer and one planning problem
Start with the person and problem before choosing colors, fonts, or decorations. A broad product such as a generic annual planner has to compete on everything at once: design, page count, price, search visibility, and brand recognition. A focused product can make its intended use obvious.
Possible audiences include:
- Students managing assignments, exams, reading, and study sessions.
- Freelancers tracking clients, deadlines, invoices, and business tasks.
- Parents organizing routines, meals, appointments, and household responsibilities.
- Content creators planning campaigns, scripts, publishing dates, and sponsorship deliverables.
- Artists tracking projects, materials, exhibitions, commissions, and practice goals.
For a painting-focused audience, a useful planner might include commission deadlines, client notes, reference-image logs, color-mixing records, canvas inventory, plein-air location notes, exhibition checklists, or a weekly studio schedule. That is not evidence that the niche is profitable; it is simply a clearer product hypothesis than a planner for everyone.

A simple niche brief
Write down these five answers before designing:
- Who is the buyer? For example, watercolor painters who work on several commissions at once.
- What recurring problem do they have? They lose track of reference images, promised delivery dates, and materials.
- What will the planner help them do? Capture project details and see the next action quickly.
- What device or workflow will they use? A tablet note-taking app, desktop PDF reader, printed pages, or a mixture.
- What will this product not do? Clear limits reduce support requests and prevent misleading sales copy.
Do not claim that a niche is profitable unless you have reliable current marketplace or sales data. The research available for this guide does not establish a trustworthy demand ranking. Treat your first product as a testable offer, not a guaranteed opportunity.
2. Decide the product format before designing
The format determines your page dimensions, navigation, delivery instructions, licensing decisions, and customer-support workload. Choose it before you build the pages.

A hyperlinked PDF is often a strong format for digital planning because tabs or index pages can send users directly to monthly, weekly, daily, notes, or tracker sections. Goodnotes documentation explains that internal and external PDF hyperlinks can be followed on iOS, Android, Windows, and the web, but the interaction can differ by platform and mode. Do not promise that every link works identically in every note-taking app.
Decide whether the planner is dated, undated, or both. A dated planner may be easier to market around a specific year but requires updates. An undated planner can remain useful longer, but the buyer may have to duplicate pages or enter dates manually.

3. Map the page architecture and navigation
Plan the user journey before decorating the document. A customer should be able to open the planner and understand where to begin without inspecting every page.
A basic architecture could include:
- Cover page.
- Quick-start instructions.
- Yearly overview, if the planner is dated or annual.
- Home page or clickable index.
- Monthly dashboards.
- Weekly spreads.
- Daily pages, if the product promises them.
- Notes pages.
- Trackers or specialized worksheets.
- License, support, or contact information.
Then decide how the sections connect. For example, every monthly dashboard might link to that month’s weekly pages, every page might have a home button, and the repeated side tab might link back to the index. If the planner contains daily pages, decide whether the monthly view links to each day or only to the relevant week. A smaller, predictable navigation system is usually better than a maze of links.
Navigation rules that reduce confusion
- Keep tabs in the same location on every page.
- Use labels that match the destination exactly.
- Give linked elements enough size and contrast to tap comfortably.
- Do not rely on decorative icons without text or a clear legend.
- Use a consistent home, back, or index destination.
- Separate internal navigation from external links such as help pages.
- Test links in the final exported PDF, not only in the editable source.
Sketch the page sequence in a spreadsheet or simple outline. Assign each page a number, name, purpose, and destination links. This makes it much easier to find a broken link after you insert a new page.

4. Create an original design and understand Canva licensing
You can create a planner in Canva or another design application, but the commercial rights depend on the assets, the product type, and the delivery format. Canva’s Content License Agreement and related guidance should be treated as the controlling source for the particular asset and product you plan to sell.

- Start from a blank document or create a substantially original layout.
- Do not take an existing Canva template and resell it unchanged.
- Do not sell individual Canva photos, graphics, stickers, illustrations, or other library assets as standalone products.
- Keep records of your original artwork, licensed fonts, purchased graphics, and third-party permissions.
- Check whether a particular asset is free, Pro, or subject to additional restrictions.
- Read the current license terms immediately before publishing, especially if the product is editable or includes Pro Content.
The important difference between a finished PDF and an editable template
Canva permits certain commercial products, including some templates, printed products, e-books, and magazines, subject to its license terms. The delivery method matters. Canva’s guidance generally says that when an editable template includes Pro Content, it should be sold as a Canva template link that brings the customer back into Canva rather than as a downloadable, off-platform template file.
That means you should not assume that a Canva Pro subscription gives you ownership of every library asset or permits you to redistribute it in any format. Canva describes library elements as licensed content, with ownership also subject to third-party rights. Purchasing access to an asset is not the same as acquiring unrestricted ownership of the asset.
If you sell a finished planner PDF, review the rules for that finished product and each included asset. If you sell an editable Canva product containing Pro Content, use the appropriate Canva template-link workflow. If you are uncertain, replace the asset, use your own artwork, or obtain permission before listing the product.
5. Build for real use, not only for screenshots
A planner can look impressive in a listing image and still be frustrating to use. Make the basic interaction work before adding decorative pages.
- Provide writing space. A dense page may look sophisticated but leave no room for handwriting or typing.
- Use readable typography. Check small labels on the actual device size, not only on a large monitor.
- Maintain contrast. Light gray text, low-contrast tabs, and patterned backgrounds can make navigation difficult.
- Choose practical dimensions. Decide whether the product is for a tablet screen, US Letter printing, A4 printing, or multiple workflows.
- Keep repeated elements consistent. Customers should not have to relearn the interface each week.
- Explain duplication. If a customer is expected to copy a daily page or a notes page, say how.
- Include a short instruction file. Explain importing, hyperlink navigation, page duplication, and the apps you actually support.
If Goodnotes is a target app, explain the expected interaction carefully. Depending on the platform and mode, a customer may need to use read-only mode or tap or long-press a link before it opens. State the workflow you have verified rather than writing that the planner works universally.
6. Export and test the final files
Exporting is not the end of production. It creates the file customers will actually download, so test that file as if you were a first-time buyer.
Digital planner quality-control checklist
- Open the final exported PDF rather than the editable source.
- Test every tab, index link, home link, back link, and external link.
- Test links on the principal device and app you name in the listing.
- Open representative pages on a second supported platform if you advertise one.
- Check page order, page count, filenames, cover images, and section labels.
- Confirm that text, graphics, fonts, and backgrounds render correctly.
- Check whether the file size is practical to download and import.
- Try a fresh import into a new notebook.
- Try the duplicate or copy workflow customers will use for reusable pages.
- Confirm that every promised file is present and opens correctly.
- Check that the PDF does not accidentally expose draft pages, comments, or private links.
Do not claim that you personally tested a product unless you or your team actually performed the test. The checklist above is a recommended procedure, not evidence of a completed test. Record the apps, operating systems, and export settings used during your own quality check.
7. Package the product professionally
A customer should know what to download and what to do next. A practical bundle may contain:

- A dated or undated alternative, if the listing promises one.
- A quick-start PDF.
- Personal-use terms or a license document.
- Bonus pages or stickers that are properly licensed.
- A support or contact file.
Use descriptive filenames such as Minimalist-Weekly-Planner-v1-0.pdf and Quick-Start-Goodnotes.pdf. Avoid names such as final-final2.pdf, which make future support and updates harder.
Keep a master copy, an archived copy of every released version, the export settings, and a changelog. If a buyer reports a problem, you need to know which file they received. A version number also gives you a clear way to communicate an update.

8. Choose where to sell
There is no universal best platform. The choice depends on whether you need marketplace discovery, a quick direct checkout, or an owned storefront.

Etsy
Etsy supports instant-download and made-to-order digital listings. Its help documentation says digital items must be made or designed by the seller. For instant downloads, the seller uploads the files the buyer is purchasing. Etsy’s current help information states that sellers can upload up to five files, with a maximum of 20 MB per file; confirm the current limit in your seller account before packaging a large bundle.
Etsy’s fee policy lists a $0.20 USD listing fee and a 6.5% transaction fee. Payment-processing fees vary by country, and advertising or other service fees may apply. The fee policy referenced for this guide was updated February 13, 2026. Use the current terms shown for your country and account when calculating margins, particularly if you use off-site or on-site advertising.
Gumroad
Gumroad is a simpler direct storefront for downloads and memberships. Its current help documentation states that direct sales are charged 10% plus $0.50 per transaction, in addition to applicable processing fees. Sales attributed to Gumroad’s marketplace discovery feature are subject to a flat 30% fee. Those two routes should be modeled separately. Gumroad states that the basic selling workflow has no monthly platform payment, but transaction and processing costs still affect each sale.
Shopify
Shopify is useful when you want a branded store, control over the buying experience, and the ability to build a broader business around the planner. Shopify’s Digital Downloads app can deliver uploaded files, supported links, or both after purchase.
File-version management matters on Shopify. Shopify warns that editing or deleting a digital file can affect access through download links that were previously issued. Keep an archived release and plan how you will replace a file without unexpectedly breaking an existing customer’s access.
9. Price from costs, value, and support burden
There is no defensible universal price for a digital planner without product-market evidence. A larger bundle is not automatically more valuable: extra pages can justify a higher price only when they solve a real problem and remain easy to navigate.
Use this starting formula:
net revenue per sale = listed price − platform fees − payment processing − refunds and discounts − allocated operating costs
Allocated costs can include design software, fonts or graphics, advertising, customer-support time, tax-related expenses where relevant, and future updates. Support time is easy to ignore because it is not deducted at checkout, but it directly affects whether the business is worthwhile.
Illustrative fee calculation
Suppose a planner is listed at $12. On Etsy, the $0.20 listing fee and 6.5% transaction fee alone would leave $11.02 before payment processing, advertising, refunds, taxes, and other costs. On a Gumroad direct sale, the stated 10% fee plus $0.50 would leave $10.30 before applicable processing fees and other costs. These are illustrations, not profit forecasts, and they do not include every possible fee.
Test several price points and observe more than sales volume. Track conversion rate, refund requests, support time, repeat purchases, and which listing images receive attention. A low price that creates heavy support work may be less sustainable than a higher-priced, clearer product with fewer confused buyers.

10. Create a listing that removes buyer uncertainty
Most digital-product complaints begin with a mismatch between what the buyer expected and what the file actually contains. Your listing should answer practical questions before checkout.
Include:
- The intended audience and planning problem.
- The exact number and type of pages.
- Whether the planner is dated, undated, or includes both versions.
- The file format and approximate file size.
- The device, operating system, or app you have actually verified.
- Whether the customer receives a PDF, a Canva template link, or both.
- Import and hyperlink instructions.
- Personal-use or commercial-use restrictions.
- What is not included, such as a tablet, note-taking app subscription, or physical shipment.
- A clear statement that the purchase is a digital product and will not arrive by mail.
Use screenshots that show the actual page sequence, writing space, tabs, and navigation. Include a short screen recording or page-flip video when the platform allows it. Do not use a mockup that suggests daily pages, stickers, hyperlinks, or device compatibility that the delivered file does not contain.
11. Market with useful demonstrations
Marketing works better when it demonstrates the problem and the workflow instead of making unsupported income claims. Useful content can include:

When several customers ask the same question, improve the quick-start guide or listing rather than answering the same issue indefinitely. Treat support and updates as part of the product. Automation can reduce delivery work, but it does not remove the responsibility to keep the catalog accurate.

You do not need a particular tablet, stylus, or paid design application to begin. A desktop computer and suitable design and PDF tools may be enough.
