A profile icon is a small image or text element that represents a person or group in an interface. Choose one that suits its job: a recognizable photo or personal avatar for an individual’s profile, a group image or label for a team, and a familiar user symbol when the control merely opens an account menu.
What is a profile icon?
In interface design, a profile icon—often called an avatar—represents a person or group. Microsoft’s Fluent 2 guidance defines an avatar as an image or text representation that can also communicate information such as status or activity. The icon may appear beside a name, in a team list, or in account navigation.
The term can also refer informally to a generic person-shaped symbol. Its function matters: a personal avatar represents a particular account, while a generic user glyph may simply indicate an account-related action. The same-looking symbol can serve different purposes in different interfaces.
Individual and group avatars
Fluent 2 uses a circular container for an individual and a square container for a group such as a team, organization, or company. That is a convention within one design system, not a universal requirement. Follow the visual language of the product rather than assuming a shape has the same meaning everywhere.

What should I use as a profile picture?
For a named person’s account, use a clear photo or a deliberately chosen avatar that helps distinguish the person. For a team or organization, use an image or text treatment that identifies the group. If the icon is only a generic account control and does not identify a particular person, a familiar user glyph may be more appropriate than a personal picture.
- Personal account: Choose a recognizable image or a consistent illustrated avatar.
- Team or organization: Use a group identity, such as a logo, initials, or another image that remains legible at the displayed size.
- Account navigation: Use a simple, established user symbol when the purpose is to open account controls rather than identify someone.
These are practical design choices, not a claim that one image type has been proven best for every audience or product.

How do I choose an avatar icon?
Start with the smallest size at which the avatar will appear, then check whether its image or text remains clear. The right choice depends on the context, the interface’s existing visual style, and what the icon needs to communicate.

Microsoft’s Fluent iconography guidance recommends simplifying detail below 48 pixels and using specific sizes for pixel-perfect results. A detailed illustration that works at large size may become indistinct when reduced. Preview the actual asset at the sizes the interface uses instead of judging it only on a large canvas.

Make status understandable
A small badge can convey presence or activity, but it should not carry essential meaning by itself. Fluent 2 warns that people with vision impairments may have difficulty seeing a presence badge on medium avatars (32 pixels) and smaller. Where possible, pair the badge with a textual status so the information is available in another form.
Keep the visual language consistent
Use shapes, proportions, and visual weight that fit the rest of the interface. Google’s Material guidance notes that consistency helps people understand icons. Consider cultural associations as well: an image or symbol may be interpreted differently across audiences, so check that it communicates as intended in the product’s context.

Choose a suitable asset and check its license
Official icon libraries can provide downloadable digital files, but terms differ by collection. Google’s Material Icons guide offers individual icon downloads as SVG or PNG and identifies the icons as available under Apache License 2.0. Microsoft’s Fluent UI System Icons repository documents platform packages and use of SVG assets. Check the current terms for the specific collection and asset you use; these licenses do not automatically apply to third-party avatar packs.
What is the difference between a profile icon and an app icon?
A profile icon represents a person or group inside an interface, such as beside a name or in an account menu. An app icon represents the app itself, commonly on a device’s Home Screen or in an app library. Apple’s Human Interface Guidelines treats app icons as the symbols people use to identify and launch apps; that is a different job from representing an account.

In short, choose a profile icon to identify an account or group, and an app icon to identify the software. They may both be small images, but they belong to different interface contexts and should not be treated as interchangeable.
