Choose the Perfect Match Color with Microsoft Office

Use PowerPoint desktop’s Eyedropper to capture an on-screen color, then reproduce its RGB values in Word, Excel, and reusable Office themes.

To match a color in Microsoft Office, sample it with PowerPoint desktop’s Eyedropper, record the displayed RGB values, and enter those values through More Colors > Custom in the Office object you want to color. This produces the same sampled on-screen RGB color in compatible Office controls—without claiming a guaranteed match on paper, another monitor, or physical paint.

Fastest route: sample it in PowerPoint desktop

For an on-screen color you can see—a logo, photo, existing slide element, or another app—the most reliable Office workflow is to sample it in the desktop PowerPoint app, note the RGB numbers, then reuse those numbers wherever Office offers More Colors. That gives you the same sampled RGB color, rather than a close-looking theme swatch.

Important: Eyedropper is not available in PowerPoint for the web. It is a desktop-app feature, documented for Microsoft 365 and PowerPoint 2024, 2021, 2019, and 2016 desktop releases (with the applicable Mac editions listed by Microsoft).

  1. Select the shape or text you want to recolor.
  2. Open Shape Format > Shape Fill for a shape, or Shape Format > Text Fill for text.
  3. Choose Eyedropper.
  4. Press and hold the mouse button, then move the pointer over the source color. PowerPoint shows a live preview; pause over the pixel to see its RGB (Red, Green, Blue) coordinates.
  5. When the displayed RGB values are the ones you want, release the mouse button. PowerPoint applies that sampled color to the selected object.

Write down all three RGB values before moving on—for example, R 32, G 104, B 176. The color is no longer just a one-time click; it is a repeatable specification you can enter in Word, Excel, Outlook, and other compatible Office color controls.

If a thin line, small letter, or adjacent colors make the click imprecise, position the Eyedropper over the target and press Enter or Spacebar to choose it. Press Esc to cancel without applying a color. Microsoft also notes that the Eyedropper can continue to preview and match a color when you move outside the PowerPoint window, which is useful when the reference is elsewhere on screen.

The same tool is available in more places than fill color. Look for Eyedropper through a relevant More Colors or similarly named menu for shape outlines, shadows, lines, and chart fills. The exact menu label changes with the object.

Match a slide background

  1. Right-click the target slide and choose Format Background.
  2. Open the Color menu and choose Eyedropper.
  3. Click the source color.
  4. Select Apply to All only when every slide should receive that same background. Otherwise, leave the color applied only to the selected slide.

This is the direct way to make a slide background, title block, icon, or rule share the color of an on-screen reference. Microsoft’s Eyedropper instructions cover these steps and the available object types.

Carry the color into Word, Excel, and other Office controls

Office does not need to have the same built-in sampling command everywhere for the result to travel. The portable part is the RGB triplet you captured in PowerPoint.

  1. Select the text, shape, cell, line, chart element, or other item you want to color.
  2. Open that item’s color menu and select More Colors.
  3. Open the Custom tab.
  4. Choose RGB as the color model if the dialog offers a color-model selector, then enter the saved Red, Green, and Blue values exactly.
  5. Confirm with OK.

Microsoft’s Colors dialog documentation covers desktop Word, Excel, Outlook, and PowerPoint, among other Office products. It supports fine-tuning on the Custom tab; Office controls that expose numeric color entry can use RGB or HSL. RGB is the right choice here because it is what PowerPoint’s Eyedropper displays.

Shapes, borders, charts, tables, or effects Open that object’s fill, outline, font, shading, or effect color menu, then choose More Colors The menu wording varies, but the saved RGB values remain the same.

For Word text specifically, Microsoft’s path is Home > Font Color > More Colors, where you can select a standard color or create one on the Custom tab. See Change the font color in a Word document. In Excel, the Custom dialog explicitly lets you choose RGB or HSL and enter the numbers for an exact shade: Microsoft’s Excel instructions.

Do not substitute a HEX value into an Office RGB field. HEX is another way to encode a color, but this Office workflow is documented around RGB/HSL entry. Preserve and enter the three decimal RGB figures unless the specific control explicitly asks for something else.

Make a repeat brand color reusable with a document theme

If this is a color you will use once, entering RGB is enough. If it is part of a repeated brand palette, put it into a document theme so it appears in the Theme Colors gallery instead of being resampled or retyped every time.

  1. In Word, go to Design > Colors > Customize Colors. In Excel, go to Page Layout > Colors > Customize Colors.
  2. Choose the theme slot the color should serve, such as Accent 1, Accent 2, or Hyperlink.
  3. Choose More Colors, open Custom, and enter the captured RGB values.
  4. Repeat for any other palette colors, preview the sample, name the new color set, and select Save.
  5. To preserve the complete theme for reuse, choose Themes > Save Current Theme. Office saves the theme as a .thmx file and adds it to the custom-theme list.

Choose the slot deliberately. Put a signature blue used for buttons, rules, charts, and callouts in an Accent slot; reserve a Hyperlink slot for the actual link color if that is how your documents use it. The benefit is consistency: items formatted with theme colors can update together when the theme changes.

A document theme is a coordinated set of colors, fonts, and effects that can be shared across Word, Excel, and PowerPoint documents. It is not the same thing as the Office application theme, which changes the appearance of the Office interface itself. Changing the application theme will not create a brand palette for your document. Microsoft’s theme guide explains both the custom-color workflow and this distinction.

If PowerPoint for the web is all you have

There is no hidden Eyedropper command to enable in PowerPoint for the web: Microsoft states that it is only available in the desktop app. The practical options are to open the file in the desktop PowerPoint app, obtain the RGB values from whoever supplied the brand asset, or use a screen color picker and then enter RGB through More Colors > Custom.

On Windows, Microsoft PowerToys Color Picker is a useful optional picker when the source is outside PowerPoint or when you need a value for Word or Excel. Enable Color Picker in PowerToys Settings, activate it with the default Win+Shift+C, click the screen color, and copy the value in a configured format. Its editor can refine HSV, RGB, and HEX values. If it copies HEX in your configuration, use the editor or format settings to obtain the RGB components needed by the Office Colors dialog.

PowerToys has practical limits: it does not currently support wide-color-gamut (WCG) or HDR color formats. It is a convenient screen-sampling utility, not a promise of universal color fidelity.

What “perfect match” means here—and what it does not

This method gives you the same sampled RGB color in the Office controls where you enter those values. That is the closest reproducible on-screen match along this encoded RGB path.

It does not guarantee that a printed handout, a second monitor, an HDR or wide-gamut display, physical paint, fabric, ink, or a wall color will look identical. Screen appearance depends on the display and its settings; printing and physical materials introduce their own color systems and viewing conditions. Use this workflow to match Office objects to the displayed reference—not as a print-calibration or physical-color matching system.

If your aim is to change the inserted image itself, rather than make text and shapes around it match, use a different tool: select the picture and choose Picture Format > Color. Office provides saturation, color tone, recolor, and Picture Color Options for image adjustment. That is an image-editing decision, not an Eyedropper/RGB transfer workflow. Check contrast before publishing

A perfect brand-color match is not automatically readable. For normal-size text, WCAG 2.2 Success Criterion 1.4.3 requires at least a 4.5:1 contrast ratio against its background; large text requires at least 3:1. The number is not rounded: a ratio of 4.499:1 does not meet 4.5:1. WCAG 2.2 Contrast (Minimum) sets out these thresholds.

When the matched color is too light or too low-contrast for body copy, keep it in an accent, border, icon, chart series, or large headline and use a darker/lighter text color for the reading copy. That preserves the visual identity without turning exact matching into an accessibility problem.

The Bottom Line

Sample once in PowerPoint desktop, save the RGB values, and enter those values through More Colors > Custom anywhere else in Office. Use a document theme for colors you repeat, and verify text contrast before you publish.
