How to Add Page Numbers in Canva: Automatic and Manual Methods

Learn when Canva’s dynamic page-number tool is available, how to number an uploaded PDF, and how to use a reliable manual text-box fallback.

Fastest answer: If you are editing an existing PDF, use Canva’s official Add page numbers to PDF workflow. For a presentation, Canva Doc, worksheet, ebook, or other multi-page design, check Text for a Dynamic text or Page numbers control. If it is not available in your design, account, or app, add a text box and duplicate it across the pages.

A visible page number is different from Canva’s internal page position, a PDF viewer’s count, and logical pagination such as Roman-numeral front matter. Decide which numbering scheme you need before editing.

Choose the right Canva workflow

What you have Best route Important qualification
Multi-page Canva design, presentation, worksheet, ebook, or report Try the dynamic Page numbers control; otherwise use manual text boxes. Labels and availability vary by design type, platform, account, and feature rollout.
Canva Doc Check its current text and document tools, then use manual numbering if no page-number element appears. A Doc’s screen pagination may not equal the exported PDF’s printed numbering.
Uploaded PDF Use Canva’s PDF editor and its page-numbering workflow. Keep the original and compare the exported replacement for layout changes.
Professional book or complex report Use dedicated PDF or publishing software after designing in Canva. Sections, mirrored folios, master pages, and advanced numbering are not guaranteed in Canva.

When page order matters, export as a multi-page PDF. Canva’s developer documentation distinguishes multi-page PDF export from image exports such as JPG, PNG, and SVG: Canva’s export documentation.

Method 1: Add page numbers automatically

Canva’s current editor may expose numbering as dynamic text. The exact label and location are version-sensitive, so treat this as a path to check rather than a universal menu promise.

  1. Open the multi-page design on a desktop browser.
  2. Select Text in the editor sidebar.
  3. Look for Dynamic text, Page numbers, or a similarly named option.
  4. Insert the page-number element.
  5. If Canva offers page selection, choose all pages or only the pages that should display a number.
  6. Position and format the element. Use the same footer, header, or outside-corner location throughout the document.
  7. Preview the first page, a middle page, and the last page. Confirm that the values increment rather than repeating.
  8. Download the finished design as a PDF and inspect the downloaded file, not just the editor preview.

Canva’s official Help Center groups related controls under editing and designing. A community report describes a Dynamic text/Page numbers control, but that report is not authoritative product documentation: Reddit report.

For Canva’s PDF editor specifically, Canva says numbering can update when pages are added or files are merged. Recheck the sequence after every structural change, because behavior in an ordinary Canva design may differ.

Method 2: Add page numbers manually

Manual numbering works with ordinary text tools and remains the dependable fallback when automatic numbering is missing or you need a custom sequence.

  1. Open the page where visible numbering should begin.
  2. Choose Text and add a text box.
  3. Type the first value, such as 1.
  4. Set the font, size, color, alignment, and position. Keep it inside the print-safe area, usually in a footer or outside corner.
  5. Duplicate or copy the text box to the next pages. Canva documents text insertion, editing, duplication, and deletion in its text-help guide.
  6. Replace each copied value sequentially: 2, 3, 4, and so on.
  7. Use rulers, guides, position controls, or alignment tools to keep every box in the same location.
  8. Lock the number or its footer elements once placement is correct, if you are still editing other artwork.
  9. Export to PDF and check pages one by one, including the first, last, and every page around an insertion or deletion.

Typed numbers do not reliably renumber themselves. Add them near the end of the design process, after page order is stable.

Number an existing PDF in Canva

Canva provides a dedicated Add page numbers to PDF tool:

  1. Open the tool and select Upload your file, or drag the PDF into the upload area.
  2. Wait for Canva to import the document into its PDF editor.
  3. Add and customize the page numbers.
  4. Review placement and sequence on several pages.
  5. Download the edited document as a new PDF.

Canva advertises this online PDF editor as free for adding page numbers and states a limit of up to 300 pages or 100 MB. Treat those as Canva’s stated limits, not a guarantee for every account, region, plan, or file; confirm what your editor accepts at the time of upload. Password-protected PDFs may need to be unlocked or otherwise accessible before editing.

Importing a PDF can change its editable structure. Compare fonts, line breaks, images, hyperlinks, page dimensions, and backgrounds with the original before distributing the revised file.

Skip the cover or start numbering later

Pagination is a publishing decision, not merely a Canva setting. Common conventions include:

  • Leave the cover unnumbered and show 1 on the first content page.
  • Keep an internal cover position but hide its visible number.
  • Use Roman numerals for front matter and Arabic numerals for the main content.
  • Number only selected pages when the current automatic tool offers page selection.

With manual numbering, omit the text box on the cover and enter 1 on the next page. Do not assume every Canva editor supports section breaks, arbitrary starting values, or automatic Roman numerals. If it does not, enter those values manually or finish pagination in dedicated publishing software. Update the table of contents to match the visible convention.

Add “Page X of Y”

Canva’s basic page-numbering controls should not be assumed to provide an automatic total-page variable. You can use plain numbers, or type a total manually after the document is final, for example Page 4 of 18. If pages change afterward, update every total or remove it.

Format and align the numbers

  • Placement: Bottom center is easy to scan; bottom-left or bottom-right works well for reports and books. Headers are useful when footers are crowded.
  • Contrast: Use a readable color against the background. On photographs or dark artwork, a subtle footer band or background shape can protect legibility.
  • Typography: Match the document’s typeface where practical, but prioritize clear numerals.
  • Margins: Keep numbers inside the safe area. A number near the trim or bleed edge can be cut off in print.
  • Mixed layouts: Check portrait, landscape, different page sizes, and facing pages separately. A single position may not suit every page.

Canva says its PDF workflow allows users to customize page numbers and edit text and images before export: official PDF page-numbering details.

Desktop and mobile differences

Use a desktop browser for long documents and precise footer alignment. Canva presents desktop and mobile text-editing instructions separately, and the controls can move or be absent in the mobile app: text editing help.

On mobile, open the design, select Text, and look for the same dynamic-number option. If it is not visible, use the manual text-box method for a short file or switch to desktop for a lengthy one. Do not assume feature parity between platforms.

What happens when pages are added, deleted, or rearranged?

  • Automatic PDF workflow: Canva says page numbers update when pages are added or files are merged, but verify the result after the change.
  • Dynamic numbering in a design: Recheck the first page, last page, and pages surrounding every structural edit.
  • Manual numbering: Typed values remain what you entered; they can become skipped, duplicated, or out of order.

Troubleshoot common failures

Every page shows “1”

You probably inserted an ordinary text box or duplicated a static value. Confirm that the object is the dynamic Page numbers element, if your editor provides one, then test the exported PDF.

The number is hidden

Move it forward in the layer order, place it in a clear footer, or add a contrasting background shape. Check that it is not transparent or outside the page boundary.

The sequence shifts after editing

Inspect pages around every insertion, deletion, or rearrangement. Manual values must be corrected individually.

The mobile app has no numbering control

Switch to the desktop browser. For a short document, manual text boxes remain possible on mobile but are slower and more error-prone.

The exported PDF differs from the editor

Open the downloaded PDF and check page count, number placement, fonts, line breaks, images, links, and dimensions. Retain the original PDF until the replacement passes that check.

When Canva is not the best pagination tool

Use a dedicated PDF tool when the file is already finalized and needs precise PDF operations. Options include Adobe Acrobat online, Smallpdf, and Sejda PDF. For books requiring sections, mirrored margins, master pages, or sophisticated folios, Affinity Publisher is a more suitable publishing environment.

Final export checklist

  • The numbering convention is intentional, including cover and front matter treatment.
  • The first content page has the expected value.
  • The last page has the expected value.
  • No page around an insertion or deletion is skipped or duplicated.
  • Numbers are aligned, legible, and inside print-safe margins.
  • Portrait, landscape, and facing-page layouts have been checked.
  • The downloaded PDF, rather than only the Canva editor, has been reviewed.
