To prepare an InDesign document for CMYK printing, get the printer’s PDF standard or preset, destination profile, bleed and spot-color instructions first. Then preflight the document, export an Adobe PDF (Print) to those specifications, and inspect the exported PDF. InDesign has no single document-wide CMYK switch, and the right workflow depends on the printer and print condition.
What “in CMYK” means in InDesign
InDesign can contain CMYK, RGB, Lab, grayscale, spot-color, and mixed-ink content in the same document. A process-color swatch may be defined with different color values, and placed photographs or imported graphics can remain RGB until PDF export.
There are two different goals that are often confused:

- CMYK-only source content: inspect relevant images, graphics, swatches, and effects and convert them where required.
- CMYK-controlled output: convert or preserve color data according to the printer’s destination profile and verify the resulting PDF separations.
Some print workflows preserve managed RGB images for conversion during export; others require pre-converted CMYK images. Follow the print provider’s instructions rather than assuming either approach is universal.

1. Start with the print intent and printer’s specifications
For a new document, choose Print in the New Document dialog. This is a print-oriented starting point, but it does not convert placed assets or every existing swatch to CMYK.
Before preparing the file, ask the printer which PDF/X standard or supplied preset to use, which CMYK destination profile describes the press and stock, how much bleed is required, whether marks are wanted, and whether spot colors should remain spot. Also confirm any total ink-coverage limit, proofing requirements, and whether the printer wants a composite PDF for its RIP.
2. Create or edit process swatches as CMYK
For colors that need explicit CMYK values, create or edit a process swatch:
- Choose Window > Color > Swatches.
- Create a new swatch or open an existing swatch’s options.
- Set Color Type to Process and the color mode to CMYK.
- Enter the required cyan, magenta, yellow, and black values, then save the swatch.
A CMYK swatch controls only the objects that use it; it does not convert linked photographs or imported graphics. Check whether each ink is process or spot, since spot inks create separate plates.
Process colors versus spot colors
Process colors use cyan, magenta, yellow, and black plates. A spot color uses a separate premixed ink and normally creates an additional plate. A document containing CMYK plus a Pantone ink, varnish, metallic ink, or fluorescent ink is not a four-plate-only CMYK job.
When choosing or communicating a process color, a printed CMYK color guide can be more useful than judging an uncalibrated monitor. A printed guide is a reference, not a substitute for the printer’s profile or an appropriate proof.
3. Inspect placed images and imported graphics
Check Window > Links for missing or modified assets, then inspect the original files for photographs, logos, illustrations, and other linked artwork. InDesign can place files in several color spaces. Preserve embedded profiles when following a managed workflow, and convert RGB images to the printer’s supplied CMYK profile only when the printer requires pre-converted images.

Adobe’s print-ready guidance flags images below 300 ppi as a low-resolution preflight issue. This is a check, not a guarantee of print quality: suitability depends on image content, placed size, and the provider’s requirements.
RGB-to-CMYK conversion can reduce gamut and change saturated colors. Recheck converted images against an appropriate proof or printed reference.
4. Decide what to do with spot colors
Determine whether each spot color is intentional. Brand inks, metallic or fluorescent inks, varnish, white ink, and other specialty effects may require their own plates. Converting them without approval can change appearance or remove a required production plate.
Convert an unintended spot color permanently
- Open Window > Color > Swatches.
- Open Swatch Options for the spot swatch.
- Change Color Type from Spot to Process.
- Confirm the resulting values and check objects that use the swatch.
Use this when the spot color was accidental or the source document should become process-only, and confirm the conversion with the printer.
Convert a spot color only for output
When appropriate, use Window > Output > Separations Preview, open Ink Manager, and set the spot color to be treated as process for output. This does not permanently change the source swatch. Confirm with the provider before converting an approved specialty color.
If the decision concerns a Pantone color, a spot-to-CMYK comparison guide can help compare the spot with its closest process simulation. It cannot guarantee a match on a particular stock and press.
5. Set the transparency blending space for print
Check Edit > Transparency Blend Space and choose Document CMYK when that matches the printer’s instructions. This controls how transparent objects blend; it does not convert every image, swatch, or imported graphic.

6. Inspect the separations in InDesign
Use Window > Output > Separations Preview and choose Separations. Inspect the process plates and any spot plates for unexpected inks, missing color components, white objects set to overprint, unintended rich black, and unexpected transparency behavior.
Use the printer’s stated total ink-coverage limit. Adobe describes 300%–320% as typical ink coverage, but directs users to enter the printer’s maximum; this range is not a universal limit. Separations Preview is an inspection tool, not a substitute for an appropriate digital contract proof or press proof.
7. Run a printer-specific Preflight profile
Open Window > Output > Preflight and resolve critical errors. Use the printer’s supplied profile where available; otherwise configure a profile for the job rather than assuming a generic CMYK-only profile is appropriate.
Check colors and inks, missing or modified links, available and licensed fonts, overset text, and image resolution. Also review transparency, overprint, and the printer’s ink-coverage limit where supported. Adobe’s print-ready guidance says to ensure links are updated, fonts are available and licensed, bleeds and margins are correct, colors are suitable for print, and preflight shows no critical errors.
8. Export the PDF with the correct destination profile
- Choose File > Export and select Adobe PDF (Print).
- Choose the PDF/X standard or supplied preset requested by the printer.
- In Output, apply the instructed color conversion and destination profile.
- In Marks and Bleeds, enter the required bleed and add marks only if requested.
- For PDF/X, check that the output intent matches the target printing condition.

Choose conversion based on the printer’s instructions. Do not select a familiar CMYK profile simply because it is available: profiles represent particular press and paper conditions. PDF/X versions have different requirements, so no one version is a universal recipe.

Inspect the PDF in a suitable preflight or output-preview application, such as Acrobat Pro’s Output Preview if available. Confirm the expected plates, absence of unintended RGB content or spot plates, correct output intent, intentional overprint behavior, and compliance with the printer’s ink limit. A successful InDesign preflight alone does not prove the final PDF will match expectations.
If the printer needs the editable source, use File > Package to gather the document’s assets and create a report. Fonts are included only subject to their licensing terms. Confirm the provider’s handoff requirements before sending source files.

Common mistakes
Looking for File > Document Color Mode
That command belongs to Illustrator’s workflow, not InDesign’s. Inspect the actual objects and control the output process.
Assuming a CMYK swatch converts photographs
A swatch affects objects that use it. It does not convert linked RGB photographs or imported RGB artwork.

Converting every spot color
Spot colors may be intentional specialty inks or effects. Confirm with the printer before converting them.
Choosing a familiar CMYK profile automatically
There is no universally correct destination profile. Ask for the profile and the provider’s PDF, bleed, ink-limit, and proofing specifications.
Trusting the monitor as proof
A calibrated, color-managed display can improve decisions, but it does not prove that a PDF is CMYK or predict every press result. Use the appropriate output profile and proof.

Does InDesign have a document-wide CMYK mode?
No. InDesign supports mixed color spaces in one document. Use CMYK process swatches where needed, inspect placed assets, and control conversion during export.
