A successful quilt block swap starts with shared expectations: agree on the block design, size convention, fabric rules, quantity, deadline and exchange method before anyone sews. Participants can then work to the same specifications, check their blocks before submitting them and avoid last-minute surprises.

Agree on the swap rules before sewing
The organizer’s instructions—not a universal swap standard—determine what each person should make. Put the requirements in one place and ask participants to confirm they understand them.

- Size: State whether the required measurement is finished or unfinished, and how the block should be measured.
- Fabric and color: Specify the palette, material restrictions and any fabric-quality expectations.
- Quantity: Tell participants how many blocks to make and how the blocks will be distributed.
- Timing and delivery: Give sign-up and completion dates, plus a ship-by date if blocks will be mailed.
These are local choices, not standard specifications. For example, one guild called for a 3-1/2-inch unfinished signature block with white or off-white centers, medium-color corners, two fabrics and a count of 75. Those details applied to that guild’s swap alone. Organizer guidance and the guild’s example instructions illustrate why requirements should be explicit.

Choose a format that fits the group
Organizers need to balance how much control the group wants over the finished quilt with the effort required to coordinate the exchange.

Start with a modest group and workload, especially if this is your first swap. One organizer-focused source offers five or ten blocks as examples of a manageable commitment, not as a rule. Make blocks to the agreed size
Accurate cutting and consistent seams help blocks reach their intended dimensions. A quarter-inch seam allowance is common in the cited quilting guidance, but follow the pattern and organizer’s instructions if they specify something else. A quarter-inch presser foot or tape guide can help maintain a seam allowance; these are optional aids, and foot compatibility depends on the sewing machine. - Read the pattern and confirm whether the requested measurement is finished or unfinished.
- Cut pieces carefully, following the pattern’s dimensions.
- Sew using the specified seam allowance; check it on a sample first if you are unsure.
- Press the block so it lies flat, then measure it using the organizer’s convention.
- Compare the result with the requested size and correct any substantial mismatch before submitting.
When seams need to meet across pieces, pressing adjacent seam allowances in opposite directions can help them nest. The American Sewing Guild explains this pressing approach in its seam-matching guidance.

Follow fabric rules and check the block
Use the palette and materials the organizer specifies. Some swaps may also ask participants to wash and preshrink fabric or check that its color is fast; these are useful precautions when the instructions call for them, not requirements for every exchange. One guild’s block instructions and fabric guidance offer examples.
- Confirm the block follows the specified design and color scheme.
- Check that the block is pressed, flat and measured accurately.
- Look for construction problems that would make assembly difficult.
- Ask the coordinator about a questionable fabric or size deviation rather than assuming it will be accepted.
A small deviation may be workable in some groups, but there is no universal tolerance. The organizer’s acceptance criteria control. As Lorrie, author of SewMod’s advice, puts it: “Don’t sacrifice quality for quantity. Slow down your pace, it’s not a race!” Read the practical advice.

Keep deadlines and communication manageable
Build the schedule around the actual exchange method. Allow time not only to sew, but also to deliver or mail blocks and redistribute them. A coordinator can set separate sign-up, block-completion and ship-by dates where relevant, then share reminders and a clear plan for distribution. Participants should raise questions early and contact the coordinator promptly if they expect to miss a date. Planning guidance and organizer advice emphasize setting expectations before work begins.
For participants, the simplest safeguard is to read the full instructions before cutting fabric. If the size convention, pattern, palette or delivery plan is unclear, get an answer before making a batch of blocks. New swappers can choose a manageable commitment and focus on making blocks they would be happy to receive.
