A strong year-end party invitation tells guests what you’re celebrating, when and where to arrive, what to expect, and exactly how to reply. For a December event, send it about four to six weeks ahead; give a company party closer to six weeks, and aim to send a New Year’s Eve invitation by the first week of December. These are recommendations from invitation vendor Greenvelope, not universal etiquette rules. Greenvelope’s holiday invitation guide and its New Year’s Eve invitation guide offer useful planning guidance.

- Date and times: Give the day, date, start time, and end time.
- Location: Include the venue and full address. For an online gathering, provide the joining link and time zone.
- Who is invited: Clarify whether the invitation is for employees, clients, partners, relatives, or another group. State whether guests may bring a plus-one.
- What to expect: Mention the dress code, meal or snack format, and any potluck assignments that guests need to know.
- Optional activities: If there is a gift exchange, explain the rules and spending limit rather than leaving expectations implied.
- RSVP instructions: Give a specific reply deadline and a clear method for responding.
Keep secondary logistics—such as parking, transport, or additional potluck instructions—in a message or page guests can easily find. If meal choices or dietary needs affect planning, ask for them as part of the RSVP.
When to send the invitation
Greenvelope recommends sending invitations for December parties about four to six weeks in advance, with company events closer to six weeks. Its New Year’s Eve guide recommends sending by the first week of December. These are vendor-published planning suggestions, not fixed rules; send earlier if guests need to travel or the event requires extra coordination.
Set the RSVP deadline to suit the planning job: roughly two weeks before the party is a useful starting point, but choose an earlier date if the venue or caterer needs its final headcount sooner. The deadline should leave you enough time to gather replies and submit the required count.

Choose a name and tone that fit the guest list
Use an event name that accurately describes the gathering. Greenvelope suggests “holiday party” for mixed or professional audiences and “Christmas party” when the event is centered on Christmas. Whatever you call it, make the wording and design suit the actual occasion rather than relying on a generic seasonal greeting.
For coworkers and professional guests
Keep the language warm and direct. Identify whether employees, clients, partners, or more than one group are invited, and state the plus-one policy. Spell out any dress expectations or gift-exchange rules, including a spending limit. Ask for meal selections or dietary notes with the RSVP if they affect the arrangements.
For relatives and friends
A more relaxed voice may suit a family or friends’ gathering, but keep the practical details just as clear. Tell guests whether they are expected to bring a dish, whether children or plus-ones are included, and what to expect for food and activities.

Digital, printed, or both?
There is no single best format for every guest list. Compare the options by how guests will access the invitation, how soon it needs to go out, whether you need to track replies or meal choices, and whether a physical card’s formality or keepsake value matters.
| Format | Useful when | Planning trade-off |
|---|---|---|
| Platform-based digital invitation | You want to send by email, text, or a shareable link and collect replies, custom answers, or plus-one details in one place. | Check that the delivery method and reply process work for your guests. |
| Downloadable design file | You want to edit or print a design yourself. | You will need to manage delivery and responses separately. |
| Printed invitation | A formal dinner or physical keepsake suits the event and guest list. | Plan for printing and delivery time; replies may need to be tracked separately. |
| Digital and printed together | You want tracked online replies while giving printed copies to guests who need them. | Keep the RSVP route consistent so responses do not get scattered. |
Greenvelope describes email, text, and shareable-link delivery, as well as printing at home or through a local print shop. These are vendor-described options, not an independent comparison of invitation services. If you print your own, invitation cardstock is an optional supply; hosts sending only digital invitations do not need it.

- Choose a deadline: Work backward from the venue or caterer’s final headcount date.
- Ask only useful questions: Collect attendance, plus-one names, meal selections, dietary needs, or a potluck dish when that information helps you plan.
- Keep one response list: Record replies in one place so attendance and catering information stay together.
- Follow up with nonresponders: Send a direct reminder to people who have not replied rather than resending the invitation to the entire guest list.
- Check before sending: Verify the date, time, address, RSVP method, and how the invitation displays on a phone.
Digital invitation services can combine delivery, reply tracking, custom questions, and reminders. Greenvelope, Evite, Punchbowl, and Partiful are examples named in Greenvelope’s vendor guides; compare their current features and terms against what your event needs rather than assuming every service offers the same tools.
