How to Edit Images in Microsoft Word: Crop, Resize, Remove Backgrounds, and More

Use Word’s Picture Format tools to crop, resize, remove backgrounds, adjust transparency, and compress images—with important differences between desktop and web versions.

You can make common picture edits directly in Word: select the image, open Picture Format, and choose a tool such as Crop, Remove Background, or Compress Pictures. Available controls vary by Word version and platform, and a normal crop hides rather than deletes the image content outside the frame.

Start editing a picture in Word

Insert a picture with Insert > Pictures, or select an image already in your document. Selecting it reveals the Picture Format tab, sometimes labeled Picture Tools Format. Use that tab for document-focused adjustments such as cropping, color variations, compression, and effects. The available controls depend on whether you use Word desktop or Word for the web. Microsoft’s overview of editing photos in Office outlines these built-in options.

Crop a picture—and know what cropping does

  1. Select the image and choose Picture Format > Crop.
  2. Drag a side handle to trim one edge, or a corner handle to crop two adjacent edges. You can reposition the image within the crop frame before finishing.
  3. Click outside the image or choose Crop again to apply the crop.

A standard crop conceals the trimmed portions but does not remove them from the document file. Microsoft warns that cropped parts may still be seen by others, including search engines if the cropped image is posted online. If those areas contain sensitive information, use the deletion option in desktop Word: select the picture, choose Picture Format > Compress Pictures, select Delete cropped areas of pictures, and apply the setting. Word for the web does not provide this deletion control. Microsoft’s crop instructions and warning explain the distinction.

Resize without stretching the image

Select the picture and drag a corner sizing handle to make it larger or smaller while keeping its proportions. For a specific height or width, open the Size dialog in the picture-formatting tools and enter the dimensions. Keep Lock aspect ratio enabled for an ordinary photo; turn it off only when you deliberately want to distort the image. Remove a picture background

  1. Select the picture and choose Picture Format > Remove Background.
  2. Review the magenta area Word identifies as the background. Choose Mark Areas to Keep or Mark Areas to Remove and mark regions that need correction.
  3. Choose Keep Changes when the selection is right.

Background removal is unavailable for vector graphics such as SVG, AI, WMF, and DRW; for those files, the control may be grayed out. Microsoft’s background-removal instructions describe the workflow and file limitation.

Make a picture transparent

Microsoft documents direct picture transparency in Word 2021 and Microsoft 365. Word for the web cannot make a picture transparent. In older desktop versions, Microsoft’s documented workaround is to insert a shape, fill it with the picture, and adjust the fill’s transparency. The transparency help page also describes making one selected color transparent; this affects only one color, and variations in that color can produce imperfect results. Compress pictures to reduce document size

In desktop Word, select a picture and choose Picture Format > Compress Pictures. The compression options can reduce image dimensions and file size based on the intended use, and can be applied to selected pictures or all pictures in the document. The web apps do not provide picture compression. If you also need to remove hidden cropped content, select Delete cropped areas of pictures; compression and deletion are separate purposes, even when their controls appear together. When Word is enough—and when to use another editor

Word’s tools are suited to quick edits needed for a document: adjusting framing, sizing an image, removing a simple background, or reducing document weight. If you need specialized photo correction such as red-eye removal or straightening, Microsoft points readers to the Windows Photos app. Its available features depend on the Windows version; consult Microsoft’s Windows Photos guidance for the editing options it documents.
