Logging on means proving your identity to a computer or online service so it can decide whether to grant you access. You might enter a password, approve a prompt, use a security key, or sign in through another trusted provider. The method depends on the system; “logging on” does not always mean typing a username and password.
What happens when you log on?
A system asks for evidence that you are who you claim to be, checks that evidence, and grants access if it is accepted. The evidence is called a credential or authentication factor. Logging on is the authentication step; what you can do afterward depends on the permissions attached to your account.

For example, Windows interactive logon begins when you enter credentials through the Windows interface. With a local account, the computer checks account information stored on that computer. With a domain account, the domain controller verifies your identity, which can enable access to local and domain resources. Microsoft describes a domain logon as a process that proves a user’s identity to the domain controller and requires an account in an account database such as Active Directory (Microsoft Learn: Interactive Logon Authentication). Windows also has remote interactive logon through Terminal Services.
What can you use to log on?
Different services support different methods. Examples include a password, a smart card with a PIN, an authenticator app, an email sign-in link, a security key, or an account from a trusted identity provider. These are options, not a universal list available on every service (NCSC guidance on authentication methods).

- Memorized information: A password is something you know. You must keep it private and use a recovery process if you forget it.
- Device or key: A smart card or FIDO security key is something you possess. A service must support the particular method; a physical key is not required for general sign-in.
- More than one factor: Multi-factor authentication (MFA) asks for at least two pieces of evidence to verify identity. The combination may make access harder for someone who has only one factor, but it does not eliminate every risk.
- Trusted identity provider: A service may let you authenticate through another provider. This can simplify access and inherit that provider’s security measures, but compromise of the provider’s account can put connected accounts at risk.
How to choose or understand a sign-in method
Whether you are setting up an account or deciding why a service asks for a particular step, check these practical points:
- Confirm what the service supports. Its sign-in settings or help page should identify whether it accepts passwords, MFA, security keys, or a third-party identity provider.
- Understand what evidence is requested. A password, a device, and a second verification step are different kinds of evidence. Do not assume that a prompt is optional or that every service uses the same process.
- Check recovery before relying on a method. Find out how to regain access if you lose a phone, key, or access to your identity-provider account. Keep recovery details current and follow the service’s official recovery route.
- Weigh convenience against dependency. Using a trusted identity provider may reduce the number of separate sign-ins, but it also makes that provider account important to access elsewhere.
For schools and colleges in England, Department for Education guidance calls for MFA on staff accounts with cloud or remote access to on-site systems and on IT administrator accounts. That is a recommendation for those settings, not a rule that every personal account must use MFA (GOV.UK: Cyber security standards for schools and colleges).

Does a recorded logon mean someone got in?
Not necessarily. “Logon” can refer to an authentication event, but a record may describe an attempt rather than a successful sign-in. Check the event’s result or status and the context provided by the system before concluding that access was granted. The exact meaning of a recorded event depends on the product and its logs.

One documented Windows Server problem can prevent a user from logging on even when the credentials are correct. Windows access tokens contain security identifiers (SIDs) for the user and groups. Microsoft documents a limit of 1,024 SIDs in an access token; because the token also includes built-in SIDs, around 1,010 custom security groups may be enough to exceed the limit. The practical threshold varies with logon type and operating-system versions, so these figures describe this specific Windows Server issue, not a general login rule (Microsoft Learn: User cannot log on because of group membership).

For this case, an administrator should review direct, transitive, and local group memberships and remove unnecessary security-group memberships. It is a specialized cause of failure, not the ordinary explanation for a rejected sign-in.
