Wedding Invitations: What to Write, When to Send, and How to Get Them Right

A practical guide to wedding invitation wording, suite contents, mailing timelines, proofreading, and choosing paper or digital invitations.

A wedding invitation needs to tell guests who is inviting them, what the event is, when and where it will take place, and how to respond if an RSVP is needed. Choose wording and a format that fit the event, then leave enough time to proofread, assemble, and mail the invitations.

What to include in a wedding invitation

Whether the invitation is formal or casual, make the practical details easy to find. Emily Post identifies the core information shared across invitation styles as the hosts or inviting parties, the event, its date and place, and a response direction when one is needed.   • Who is inviting: Name the hosts or inviting parties. For formal invitations, Emily Post advises spelling out host names.
  • What the event is: Identify the wedding ceremony or celebration clearly.
  • When and where: Give the date, time, and venue. Formal wording traditionally spells out dates and times.
  • How to respond: Include an RSVP direction and deadline when you need guests to reply.

Design and wording work together: a highly formal card suggests a different tone from a relaxed, conversational invitation. Whichever style you choose, do not let decorative language obscure the date, venue, or response instructions.

How formal should the wording be?

Use language that suits the hosts, venue, and atmosphere you intend. Traditional etiquette distinguishes between ceremony settings: Emily Post says “the honour of your presence” is used when the ceremony is in a house of worship, while “the pleasure of your company” is traditional for other venues. These are etiquette conventions, not universal or legal rules.

Formal wording

Formal invitations commonly spell out host names, dates, and times and use traditional phrasing. If you are following the house-of-worship convention, Emily Post recommends “the honour of your presence”; for other venues, it gives “the pleasure of your company.”

Casual wording

A less formal invitation can use more conversational language and a simpler presentation. Keep the same essential information visible: who is inviting guests, what is happening, when and where, and how to reply if a response is needed.

What belongs in the invitation suite?

A suite may consist of the invitation, coordinated envelopes, an RSVP card, and information inserts. Include extra pieces when they solve a real communication or response need; a single invitation may be enough when it already covers the essentials.

If you choose paper, a wedding invitation stationery set or blank wedding invitation cardstock with matching invitation envelopes may make it easier to coordinate the pieces. Check that the components meet your design and assembly needs rather than assuming every set includes the same items.

When should you send wedding invitations?

Mailing dates depend on guest travel, postal geography, and how long printing and assembly will take. Joy’s guide, published August 10, 2026, recommends mailing invitations 6–8 weeks before a local wedding and 10–12 weeks before a destination event. It recommends setting the RSVP deadline 3–4 weeks before the wedding. Guests who need more time to arrange travel may call for an earlier mailing date. The Knot’s guide, updated July 14, 2026, also notes that timing depends on guests’ travel needs and invitation format, and that paperless invitations still need a workable response window. Consult its wedding invitation timeline when planning for circumstances outside the ranges above.

How to proof, assemble, and mail invitations

Emily Post cautions that “Printing is costly and details are easy to get wrong” in its Wedding Invitations 101: A Comprehensive Guide. Build preparation time into the schedule rather than leaving checking and assembly until the last minute.

  1. Confirm the event details. Check host names, date, time, venue, and response instructions against the final plan.
  2. Proof the wording and layout. Review names, spelling, punctuation, and the legibility of key details before approving a print run.
  3. Organize recipients and addresses. Prepare the guest list and verify the names and mailing addresses you will use.
  4. Set the enclosure order. Arrange invitation, RSVP materials, and inserts in the order you intend guests to encounter them, then assemble consistently.
  5. Check postage for the finished suite. Weigh and assess a complete assembled invitation with your postal service before mailing, especially if it is unusually heavy or sized. No current postal rate or technical specification is established here, so verify the applicable requirements directly.

Paper or digital invitations?

Paper invitations allow for a physical suite of cards, envelopes, and inserts. Digital invitations can simplify delivery and response handling. Neither format has a universal cost or response-rate advantage established by the cited guidance, so choose based on the experience you want, your guests’ needs, and the time available for production or delivery. Either way, provide the event details clearly and give guests a workable period to respond.
